The Function
The People team at Genius serves a client group of circa. 2,000 colleagues In 13 countries. The People function has seven pillars of responsibility; Talent Acquisition; Reward; Training & Development; Employment Counsel; People Systems, Data & Process; People Partnering and; People Operations. People Partnering and People Ops work hand in glove across the People lifecycle, calling on the subject matter expertise of other pillars. People Partnering look across the department/functional relationships globally whereas People Operations look across the country and global people propositions.
The Role
This is a great opportunity for someone who is familiar with working in a fast paced and busy HR or people environment. You will be part of our United States People Operations team and support the US People Operations Manager. You will be primarily responsible for administrative tasks, supporting all phases of the employee lifecycle, ensuring a positive employee experience, and cultivating a One Genius philosophy. You will be predominantly focused on supporting the US Genius Team but be a key member of our Global People Operations Team.
This is an exciting role for someone who would like to learn and grow as a People Ops/HR professional in a fast-paced environment.
This position requires you to live and work in the Eastern Time Zone, with preference for candidates located in the Pittsburgh, Pennsylvania area.
Duties & Responsibilities
  • Onboarding & Offboarding: Work closely with the US People Operations Manager and the Talent Acquisition team to ensure the smooth onboarding of new starters by preparing and issuing employment agreements and other new starter documents, providing status updates to TA, line managers, and technical services when necessary, entering new starter information in the appropriate systems, and hosting HR inducting meetings as requested. Prepare and issue offboarding documentation and update the appropriate systems.
  • Other related duties as assigned.
  • Payroll: Support the People Operations Manager in preparing and processing bi-weekly payroll by entering employee hours and other variable pay inputs such as commissions and bonuses with 100% accuracy. Assist in the completion of SOX reports to ensure compliance with relevant controls.
  • Data & Systems: Play a key role in updating all relevant systems (Trinet and Workday) with employee changes such as salary changes, starters, leavers, bonuses, job title changes, etc. as necessary. Accurately process and track employee changes in all systems and other trackers in a timely manner. Attention to detail is critical for this element of the role.
  • People Ops Service: Assist in managing our very busy US People Team inbox/ticketing system by acknowledging and responding to general people and HR related queries in a timely manner. Escalate issues as necessary in an effort to provide a first class, responsive, and right first-time employee experience.
  • Administrative Support: Ensure employee files and documents are organized, up to date, and filed securely, accurately, and frequently. Perform regular file audits to verify all required employee documentation is retained and maintained in compliance with US government and GDPR requirements. Respond to request for information and preparation of documents/letters from People Team as required. Assist in managing our very busy US people team inbox by acknowledging, responding, and resolving general people and HR related queries on a daily basis.
Requirements
  • Organized, accurate, and detail orientated
  • Bachelor’s Degree with Human Resources concentration preferred
  • Excellent verbal and written communication skills
  • Passion for providing prompt, accurate, and timely advice/responses to all members of our team
  • Ability to work independently and part of a team in a fully remote environment
  • 6 months – 1 year of Human Resources/People Operations experience
  • Located in Eastern Standard Time Zone
  • Experience working with and updating HR Information Systems preferred
  • Proficient in MS Office Suite, including Excel
  • Ability to prioritize and manage own workload and tasks, multi-task, meet deadlines, and work in a fast-paced environment
