Job Description
Billion-Dollar Global Investment Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Investment Assistant! This person will be providing support for up to 4 investment professionals. Candidates must have a minimum of 5+ years of applicable high-level administrative experience working in financial services (required) and a Bachelor’s degree is required. He/She should have strong interpersonal and communication skills (both verbal and written), a team-oriented, flexible, and proactive attitude, sound judgement, and be extremely detail-oriented and organized. This is a fantastic opportunity to join an extremely reputable financial services firm and work with a great group of people!
Salary depends on experience (90-150k base), plus bonus eligibility, AMAZING benefits/perks (fully paid benefits, free lunch, gym onsite, etc.).
Hours are 7:30am-5:00pm / 8:00am – 5:30pm, with flexibility. Hybrid in-office schedule (4 days in office, 1 day remote).
The Investment Assistant will provide administrative support for up to 4 investment professionals. This position requires a candidate who is enthusiastic about and excels in a support role. This role reports into the Investment Assistant Team Lead.
Responsibilities:
  • Coordinate complex domestic and international travel arrangements and detailed itineraries; prepare, process, and submit expense reports; maintain records of receipts and paperwork.
  • Draft, type, and edit emails and correspondence.
  • Provide high-level administrative support for up to 4 investment professionals; act as gatekeeper.
  • Screen and answer incoming phone calls, respond to emails, and discern which information and callers get through to the investment professionals.
  • Generate, update, and maintain both physical and digital files.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; create agendas and prepare and distribute meeting materials; manage and maintain busy and ever-changing calendars using Outlook.
  • Communicate with sell side to obtain research and models; create and assemble detailed research packets; extract brokerage and company generated reports.
Requirements/Qualifications:
  • Minimum 5+ years of applicable high-level administrative experience working in financial services (required).
  • Strong Microsoft Office Suite, in particular Outlook and Excel.
  • Sound judgment; demonstrated discretion with confidential information.
  • Flexible, team-oriented, and willing to work collaboratively and pitch in on ad-hoc tasks and requests to ensure all needs are met.
  • Bachelor’s degree is required.
  • Accustomed to working in a fast-paced environment.
  • Support experience within a team environment preferred.
  • Proactive with the ability to recognize, anticipate, and address needs with a strong sense of urgency.
  • Extremely detail-oriented and organized.
  • Strong interpersonal and communication skills (both verbal and written).
