Job Description
Well-funded venture firm focused on cyber and enterprise investing is looking for an Office Manager to join their team! You will be responsible for the day-to-day office operations - overseeing the reception area, greeting guests, liaising with building management and other vendors - while also providing admin support to Investor Relations team with CRM management, coordination of meeting and travel, and other ad hoc tasks. Someone who is excited about owning the admin role, a team player, and has previous experience in an Office Management role. This is an amazing opportunity for someone who is excited to wear many hats with room to grow within the company! This is an in-office role based in New York near Bryant Park. 100-120K+ DOE + benefits, generous performance bonus & 401k!


Responsibilities


  • Schedule, coordinate and set up meetings on behalf of IR Team.
  • Oversee reception area - greet guests, answer main phone line, and liaise with the building manager as needed.
  • Prepare/coordinate materials for meetings & events, including presentations, agendas, name tags, etc.
  • Assist with the logistical planning of annual investor conference.
  • Help set up & automate local processes and group events (events, office onboarding, etc.).
  • Assist on expense reporting.
  • Work with COO on projects related to office administration.
  • Build and manage relationships with vendors, service providers, and landlords, including budget control and contract negotiation.
  • Liaise with their teams and direct-reports and be their eyes and ears on the ground.
  • Assist Investor Relations team with coordination of travel arrangements and itineraries for road shows, including hotel, cars, airfare, etc.
  • Responsible for all the purchases in the office (beverages, snacks, office supplies, etc.).
  • Arrange travel and entertainment itineraries.
  • Assist with database management.


Qualifications


  • Self-starter. You are comfortable working with minimal supervision; accountable for quality, quantity, and timeliness of work
  • Tech-savvy and quick learner.
  • Comfortable dealing with what can sometimes be very rapid change; adjusting appropriately based on the executive's or company's needs.
  • Strong communication skills - written, verbal and nonverbal communication.
  • 2+ years of experience in an Office Manager, Coordinator, or Administrative role.
  • Excellent interpersonal skills. You are personable, polite, and professional in demeanor; can work effectively with people at all levels of the organization as well as those external to the organization.
  • Team player. Works well collaboratively to support the needs of the organization.
  • Maintain confidentiality about sensitive information related to the work of the executive and the overall organization.
  • Projects a high level of professionalism in all interactions with others.
  • Comfortable working in a behind-the-scenes role primarily intended to provide administrative support for an executive leader.
  • Strong organizational skills with the ability to juggle multiple tasks.
