A family office that manages investments and has a philanthropic foundation and been in business for 16 years is looking for an Executive/Personal Assistant to support the Co-Managing Partners. The office is located downtown 2 blocks south of the Fulton Street station. The office has 5 employees and a collaborative culture. The role is hybrid-in office 3 days and work remotely 2 days.
About the Job:
¨ Manage properties (NYC and Stamford, CT and Fire Island)
¨ Manage and coordinate service providers
¨ Coordinate complex travel arrangements (domestic and international, business and personal) and create detailed itineraries
¨ Event planning and execution
¨ Maintain calendars
¨ Schedule internal and external meetings
¨ Prepare the Co-Founders for meetings
¨ Make and manage personal appointments
¨ Special projects
¨ Some off-hour availability required
¨ Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
¨ Open, vet and prioritize incoming mail and emails
¨ Process expense reports
¨ Create and manage spreadsheets with updates on projects
¨ Pay personal bills
¨ Make dinner reservations and source and place food orders
¨ Shopping and returns
About You:
¨ Minimum of 5 years of experience in a related support position
¨ Previous experience supporting a C-level
¨ BA/BS from a college or university
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Self-starter
¨ Outstanding communication skills
¨ Problem solver
¨ Great follow-up skills
¨ Willingness to travel to various properties
Salary, Benefits, Paid Vacation, plus national holidays, hours: 9-5
