Job Description
Purpose
Liaise, mentor, and train newly acquired companies’ accounting and/or administrative staff throughout the integration into Bowman’s corporate administrative and accounting processes and billing and accounting system (Deltek Vision, PandaDoc, etc.). Identify training needs as well as create and deliver training. Ensure processes and procedures are documented and accessible to acquired firms.
Key Responsibilities
Leadership and Direction
  • Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution.  Manage – directly or indirectly - people and processes to ensure effective execution.  Review work produced by staff for quality assurance. 
At The Operational And Company Level
  • Provide administrative direction and support to the acquisitions, as needed. 
  • Serve as liaison to acquisition’s Accounting/HR/Admin teams from date of acquisition through integration. 
Do the Work
  • Act as liaison to the finance team and acquired firms regarding regional accounting practices, processes, and procedures. 
  • Assist acquired firms in meeting their financial objectives by reviewing and tracking invoices, preparing reports, and monitoring billing and other financial statements. 
  • Ensure administrative and accounting processes and procedures are documented and accessible to acquired staff.
  • Identify needs and provide training and guidance on petty cash reconciliation processes and procedures. Provide oversight of processes with acquired personnel until mastery is achieved.
  • Provide guidance and administrative support to acquired staff and/or other corporate functions as needed. 
  • Coordinate and assist in managing billable projects of newly acquired firms, including monitoring timelines and progress, and ensuring necessary other requisite tasks are completed timely.
  • Identify needs and provide training to the acquired company’s Accounting/Admin personnel regarding Bowman processes, including timesheet completion, expense reimbursement, project setup, and other items that will aid in the integration to and adherence with company policies, processes, and procedures.
  • Additional duties and responsibilities will vary depending upon the specific needs and requirements of the acquired firm, and its stage within the acquisition/integration process.
  • Provide training on project setup and form review in Vision Provide oversight of processes with acquired personnel until mastery is achieved.

Education, Work Experience, Licensure/Certifications, And Technical Requirements
  • Five or more (5+) years of administrative services and/or accounting related experience with at least two years of management responsibility, preferably with an AEC / land development consulting firm.
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) preferred.  
  • Bachelor’s degree in business or office administration, organizational development, communications or related field preferred, commensurate relevant experience considered.
  • Proficiency with PandaDoc, Deltek Vision, and/or other financial management and contract related platforms.
Physical Demands and Working Environment
  • Occasional lifting or carrying up to 20 pounds.
  • Mobility around an office environment.
  • Occasional pushing or pulling up to 20 pounds.
  • Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic.
  • Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • Occasional reaching outward or above shoulder.
  • Primarily local travel during the business day, although some out-of-the-area and overnight travel may be required according to the needs of the business.
