Job Description

Ultimate Staffing is seeking an Entry-Level HR Coordinator to work with one of our best clients in the Timonium, MD area! As an HR Coordinator, you will provide administrative support and assistance to the HR department. You will be responsible for performing various tasks related to employee onboarding, offboarding, HR records management, benefits administration, recruitment support, and general HR-related activities. Your role is crucial in ensuring smooth HR operations and supporting the overall employee experience within the organization.


Responsibilities:

Onboarding and Offboarding:

  • Assist with new employee onboarding processes, including preparing offer letters, employment contracts, and orientation materials.
  • Coordinate pre-employment screenings, background checks, and reference checks.
  • Process employee terminations, including conducting exit interviews and coordinating offboarding procedures.
  • Conduct employee orientations and ensure all necessary paperwork is completed.

HR Records and Documentation:

  • Maintain accurate and up-to-date employee records in the HR information system (HRIS).
  • Assist with the maintenance and organization of employee files and records.
  • Generate reports from the HRIS as needed.
  • Prepare and maintain HR-related documents, such as employment contracts, confidentiality agreements, and HR policies.

Benefits Administration:

  • Collaborate with benefit providers and resolve any issues or discrepancies.
  • Assist employees with benefits enrollment, changes, and inquiries.
  • Support the administration of employee benefits programs, including health insurance, retirement plans, and other employee perks.

Recruitment Support:

  • Schedule interviews and assessments, and communicate with candidates throughout the recruitment process.
  • Coordinate job postings on various job boards and company career pages.
  • Assist with candidate screening, background checks, and reference checks.
  • Participate in recruitment events, job fairs, and campus hiring activities.

HR Policies and Compliance:

  • Stay updated on employment laws and regulations to ensure compliance.
  • Assist with the development and implementation of HR policies and procedures.
  • Assist with HR audits and ensure adherence to internal policies and external regulations.

Employee Relations:

  • Respond to employee inquiries regarding HR policies, procedures, and benefits.
  • Support employee engagement initiatives, such as employee surveys and recognition programs.
  • Escalate complex employee issues to the appropriate HR personnel.


Requirements:

  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to handle sensitive and confidential information with professionalism.
  • Prior experience in an HR administrative or coordinator role is preferred.
  • Effective communication skills, both written and verbal.
  • Strong understanding of HR practices, policies, and employment laws.
  • Proficiency in HRIS and other HR-related software.
  • High level of professionalism and customer service orientation.
  • Strong problem-solving and decision-making skills.
  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Ability to work independently and collaboratively in a team environment.
