Scope of Job:


Our HR Coordinators are responsible for a variety of administrative support tasks for the People HUB shared service offices and primarily ensuring a smooth candidate journey for new hires across all of North America. This role is equal parts data integrity, process optimization, and customer service. Compensation for this opportunity starts at $20/hour.


Main Responsibilities:


  • Coordinating all aspects of pre-employment within established Service Level Agreements (SLAs), including offer letters, background checks, drug screens, employment authorizations and orientations.
  • Provide administrative support to the People HUB Director and Heads of HR Operations, Talent Acquisitions & Total Rewards.
  • Become a super-user of company Applicant Tracking System (ATS).
  • Maintains integrity and confidentiality of human resource files and records as this role will be regularly exposed to highly confidential information.
  • Cultivate strong collaboration with talent acquisitions, site administrative support, peers and colleagues to contribute valuable recommendations based on learnings, company practices and new developments. Deliver training and insights on an as-needed basis.
  • Provide an excellent onboarding experience for new hires, rehires and internal movements.
  • Manage a high volume correspondence (emails, chat, phone) across all levels of the organization with the highest degree of integrity, accuracy, tact and empathy.
  • Ability to educate others through best practice sharing and recommendations, as well as identifying and triaging potential errors.
  • Proactively provide recommendations for continuous improvements and processing efficiencies.
  • Performs other duties as assigned.
  • Implement employee engagement initiatives and celebrations, including Diversity & Inclusion, recognition, team building and other opportunities identified.
  • Maintain internal trackers and onboarding rosters and constant communication to ensure smooth hiring process.


Background and Experience:


  • Flexible, accountable, collaborative, team player, adaptable nature
  • A fundamental understanding of HR policies, practices, payroll and benefits
  • Proficiency in MS Office products required
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • 2-3 years experience of working in a high volume, fast paced HR environment
  • Excellent problem-solving abilities
  • Fantastic interpersonal skills – listening, empathy, assurance, confidence
  • Experience with HRIS and ATS strongly preferred


Education:


High school graduate or General Education Degree (or equivalent education and experience) is required.


Associate degree in Business Administration, Business Management, HR, Finance, Legal preferred.


Physical Demands:


Ability to sit and stand for extended periods of time


Ability to push, pull and lift up to 25 lbs


Work Environment:


Ability to concentrate and analyze with distractions


Occasional travel to participate in events and activities at on-site or off-site locations


Other Job Requirements:


Attendance and punctuality are mandatory functions of this job


Flexibility to work onsite and cover operational hours (8a to 8p ET) on occasion, during peak seasons


Reliable transportation to accommodate events and activities at on-site or off-site locations.
