Vehicle Fleet Manager

Poughkeepsie, NY

Pay: starting base salary $75,000-95,000/yr. (depending on prior relevant experience)

10% Bonus Potential

• Experience in the management of fleet asset administration

Responsibilities:

Effective management of vehicle acquisition, maintenance and turn-in process

• Manage logistics of upfit and vehicle graphics
• Maintain and update Vehicle transfers and Vehicle utilization as needed
• Inspect and acknowledge receipt of non-service fleet vehicles
• Determine vehicle specs by dept need, order, register and plate vehicles and maintain records
• Create vehicle in Fleet Mgt System following parameters of fleet contract
• Oversee turn in process and re-marketability of vehicles

Proper records of vehicles and expenses

• Ensure monthly invoices are accurately coded
• Code all vehicle maintenance invoices
• Supply data to accounting for tax reporting
• Monthly reconciliation of truck list
• Processing of Unified Carrier Registration and FMCSA Form MCS-150

Administration of vehicle tickets and notices

• Inform drivers of monthly any violations/fines/tickets
• Inform drivers/service managers of open recalls on their vehicle and/or service fleet
• Provide updated insurance cards to all drivers
• Inform drivers/service managers of overdue/upcoming inspection notices

Effective management and maintenance of fuel expense system

• Fuel card administration
• Maintain and update users and PINs in Fleet Management System
• Add new units and obtain fuel cards
• Replace lost or damaged fuel cards

Support for new business acquisitions, mergers, and partnerships/affiliates

• Order new trailers and trucks and complete terminations with branch managers
• Maintain vehicle/truck files & spreadsheet for each branch
• Yearly update of insurance and renewals

Qualifications:

• Strong communication skills, both written and verbal
• Off-hour availability is required
• Detail-oriented
• Experience in the management of fleet asset administration required
• Must be computer proficient (including proficiency in Microsoft Office: Word, Excel, Outlook) as well as multiple systems and interfaces

Essential Physical Job Qualifications:

• Occasional walking and climbing stairs
• Carrying (up to 20lbs.)
• Standing and/or sitting for prolonged periods of time
• Occasional forward bending and reaching
• Hand coordination (typing and writing)
