Job Description

Our premier design firm is seeking an experienced and dedicated Executive Assistant to join our team and provide indispensable support to our founder and CEO. As the backbone of our CEO's operations, you will play a crucial role in ensuring the smooth functioning of the business, enabling our CEO to focus on driving innovation and excellence in the firm.

About the Role:

As the Executive Assistant to our CEO, you will be the CEO's right hand and strategic partner. Your responsibilities will span a diverse range of administrative, logistical, and communication tasks, all aimed at optimizing the CEO's efficiency and productivity. You will be instrumental in managing the CEO's calendar, organizing meetings, coordinating travel arrangements, and liaising with internal and external partner. Your excellent communication skills will be vital in crafting professional correspondence, preparing reports, and representing the CEO in a poised and professional manner.

Key Responsibilities:

  • Collaborate with various departments to gather data, prepare reports, and compile necessary information for the CEO's decision-making.
  • Plan and organize meetings, and special events on behalf of the CEO.
  • Maintain confidentiality and discretion when handling sensitive information and issues.
  • Prepare, review, and prioritize incoming communications.
  • Handle special projects as directed by the CEO, showcasing adaptability and problem-solving skills.
  • Act as the primary point of contact between the CEO and everyone she touches.
  • Proactively manage the CEO's schedule and appointments.

Qualifications:

  • Strong written and verbal communication skills, exhibiting professionalism and tact.
  • Bachelor's degree in Business Administration, Communications, or a related field preferred. Comparable experience will be considered as a qualification.
  • A passion for interior design and creativity, with an understanding of the design industry's dynamics.
  • Proficiency in office software applications and calendar management tools plus a willingness to learn new programs and tools.
  • Exceptional organizational and time management skills, with a keen eye for detail.
  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior executives.
  • Ability to anticipate needs, take initiative, and work independently with minimal supervision.
