Description


Functions


  • Support the desktop team as needed (ex: equipment inventory).
  • Coordinate and manage all executive tasks, administrative duties and operations for the Assistant Vice President for IT, CRM and Data Analytics, the IT Leadership team and department when applicable.
  • Maintain ‎confidential files related to the Assistant Vice President's responsibilities.‎
  • Serve as backup for administrative duties for additional leadership team members as needed; including accounts payable, travel, calendaring and PRF credit card reconciliation.
  • Assist with donor relations and stewardship activities when needed.
  • Draft, edit and send correspondence on behalf of and supervisors' approval. ‎


Additional Responsibilities


  • Design ‎and generate ‎reports and disseminate and gather information to ‎and from high level internal and ‎external constituencies, including donors, prospects, ‎campaign committee members, deans and ‎administrators, and directors of development.
  • Monitor reservations and ‎travel arrangements related to appointments and scheduled activities.
  • Perform back up/clerical duties for other staff as needed.
  • Assign, instruct, and review the work of student employees, including participating in hiring, terminating and recommending pay decisions for temporary student employees.
  • ‎ Respond to inquiries as appropriate and assist the Assistant Vice President for IT in a variety of activities as directed.
  • Provide functional supervision of student worker.
  • Prepare and/or gather ‎meeting materials and information in advance of appointments.


Skills, Knowledge And Expertise


  • Ability to work weekends and evenings is required.
  • Excellent verbal/written communication skills required.
  • Ability to represent the University with tact and diplomacy, maintain confidentiality, and manage multiple tasks.
  • Strong customer service focus is a must.
  • Ability to work with a diverse and prominent clientele that includes top level administrators, donors, alumni, and friends.
  • Must be creative, accurate, and self-motivated.


Education/Experience


  • Four years of clerical/administrative office experience required.
  • HS Diploma/GED Equivalent required.
  • Supervisory experience is a plus but not required.
  • Customer service or donor relations experience strongly preferred.
