Executive Assistant – Foundation
The President of a prestigious foundation is seeking a passionate and experienced Executive Assistant to be a true right hand. If you have 3+ years of senior support experience and demonstrated initiative, problem solving skills and strong interest in philanthropy, this is a great opportunity.
Salary commensurate with experience $80-90k range + bonus and a comprehensive benefits package including many perks
The office is located in NYC on the West Side and requires on site work 4 days/week, 1 day remote. The hours are 9am-6pm.
Responsibilities:
- Support the team in project management, including tracking progress and ensuring timely completion of tasks.
- Coordinate and manage logistics for Foundation events, including venue, catering, and guest list management.
- Assist in the creation and distribution of Foundation communication materials, including newsletters, press releases, and social media updates.
- Liaise with the Finance team to ensure timely tracking of expenses.
- Provide general support to the Foundation team as needed.
- Manage the President's calendar, scheduling appointments and meetings, and coordinating travel arrangements.
- Liaise with IT support, when needed, to help troubleshoot.
- Conduct research and gather information for Foundation initiatives and projects.
- Prepare reports and presentations for internal and external use.
- Liaise with the Board, grantees, partners and other stakeholders to ensure smooth communication and collaboration. Manage and track correspondence.
Requirements:
- Excellent organizational and time management skills.
- Ability to multitask and prioritize tasks effectively.
- Discretion and professionalism when handling confidential information.
- Ability to work independently and take initiative in addition to working well with a team.
- 3+ years of experience supporting a senior executive.
- Strong communication skills, both written and verbal.
- Tech savvy with an eye toward continuously improving processes and efficiency. Highly proficient in Office 365 and other relevant software. Salesforce familiarity is a plus.
- Familiarity with event management software and digital marketing preferred.
- Bachelor's degree preferred.
- Resourceful, able to find a way to make things happen.
