Position: Executive Director

Our mid-sized aviation law firm, spanning New York and four additional locations, is currently seeking a driven, seasoned Executive Director. The individual we're looking for will play an integral role in the firm’s financial operations, office management, human resources, IT systems, and marketing/business development initiatives. Reporting directly to the firm’s Management Committee of three Partners, the Executive Director will be heavily involved in both the tactical and strategic management of the firm.

The ideal candidate will possess robust verbal and written communication skills, demonstrate adept leadership abilities, exhibit self-direction and initiative, and possess top-notch organizational skills to manage several projects concurrently.

Responsibilities:

Finance and Accounting

·Supervise all activities related to the firm’s accounting department such as time and billing, cash receipts, accounts payable, general ledger, payroll, and client trust funds

·Develop budgets, financial reports, and profitability analyses

·Handle and file select tax payments

·Liaise with the firm’s external accountant for tax returns, K-1s, and financial reports preparation

·Oversee the firm’s defined benefit pension fund, profit sharing, and 401(k) plans

·Manage banking relationships and ensure compliance with financial processes

·Monitor and control firm expenses, and manage budgets

Administration

·Oversee office operations and supervise all non-legal staff

·Manage hiring processes for all employees

·Supervise the firm’s information systems, recommend up-to-date technology and security practices

·Arrange new employee orientations and exit interviews

·Administer benefits programs including health insurance, flexible spending accounts, and disability programs

·Manage renewals of various insurance policies

·Supervise vendors, negotiate contracts, and ensure service delivery

·Coordinate training programs for all staff

·Manage the firm’s library and research resources

·Facilitate the planning and execution of in-house and outside activities and office wide experiences that foster the collaborative culture of the firm. This includes brainstorming event ideas, liaising with various stakeholders, and overseeing the operation of these initiatives to encourage engagement and teamwork within the firm.

Marketing and Business Development

·Organize the firm’s partner business development meetings

·Assist attorneys with individual business development initiatives and ensure firm-wide coordination

·Develop and implement strategies for marketing the firm and its lawyers

·Oversee the firm’s website and social media platforms

·Strategize and track the firm’s engagement in industry associations, conferences, and other relevant events

·Assist in creating proposals, pitches, and presentations for existing and potential clients

·Prepare submissions for firm rankings in legal publications

·Plan, participate in, and coordinate firm-wide events and initiatives

·Guide the firm’s branding, PR, and communication strategies

·Monitor industry news, conduct research, and communicate updates to partners

Preferred Skills and Experience:

·A bachelor's degree in Finance, Accounting, or Marketing; JD or MBA preferred

·Minimum of five years of experience in law firm management, with involvement in finance, accounting, office operations, marketing, and business development

·Proficiency in Microsoft Excel, Word, and PowerPoint; familiarity with law firm billing and accounting software

·Flexibility and adaptability to manage diverse responsibilities simultaneously
