Event Coordinator - Remote | Wfh

We are looking for an enthusiastic and dedicated Event Sales Coordinator to play a key role in expanding our event sales operations. You'll contribute to both outbound and inbound sales efforts, collaborate on event planning and coordination, and foster positive relationships with clients and vendors. Your ability to create memorable experiences and your passion for connecting with people will make a significant impact on our events and our client's satisfaction.
Key Responsibilities
Inbound Sales
Engage promptly and professionally with potential Event Leads via email and phone.
Monitor various inbound channels, including Yelp!, Peerspace, Reposite, and more.
Outbound Sales
Build strong connections with local companies through cold calls and emails, enhancing the pool of potential Event Leads.
Collaborate with tour groups and school groups to diversify event clientele.
Event Planning & Coordination
Serve as the primary point of contact, tailoring event plans and communications according to each client's vision and budget.
Coordinate various events such as birthday parties, wedding receptions, corporate outings, and team building activities.
Assume the role of on-site event coordinator, proactively addressing challenges as they arise.
Work closely with the General Manager to manage staffing and operational requirements for events.
Vendor Relationships
Cultivate relationships with vendors, including caterers, entertainers, and more, to fulfill client preferences.
Expand the roster of preferred vendors while maintaining a comprehensive contact list.
Administrative Tasks
Collaborate with the Management Team to establish a CRM system, tracking prospective leads and monitoring the event conversion rate (aiming for 20%).
Prepare and distribute invoices, contracts, and event recaps.
Off-Site Event Coordination
Represent our business at off-site festivals, conventions, and approved events.
Company Events
Organize internal events such as Team Outings and Holiday Parties with guidance from the General Manager.
Innovate and test fresh company event concepts to boost engagement during quieter periods.
Miscellaneous
Contribute to other projects as assigned by the CEO, General Manager, or Creative Director.
Required
Qualifications & Skills:
High School Diploma or equivalent education.
Minimum of 1 year experience in event planning and/or sales, or equivalent educational background.
Exceptional interpersonal skills.
Strong organizational and multitasking abilities, including managing multiple tasks concurrently.
Excellent verbal and written communication skills.
Proficiency in computer applications.
Team player with a collaborative approach.
