Job Description
We are seeking a proactive and enthusiastic individual to join our team as an Education Programs Coordinator. In this role, you will collaborate with the Graduate Program Director to oversee and enhance the operations of our dynamic educational programs. From coordinating recruitment efforts to maintaining effective systems for admissions and enrollment, you will play a vital role in shaping the educational journey of our students. Additionally, you will have the opportunity to contribute to the development of engaging courses and curriculum, while actively supporting our efforts in graduate recruitment and retention.
Department-Specific Responsibilities
Coordinate the recruitment process for applicants of each program, serving as a primary point of contact for prospective students, administrators, faculty, and staff.
Develop, implement, and maintain efficient systems for graduate recruitment, admissions, enrollment, and degree progress reporting.
Generate reports to facilitate informed decision-making by Program Directors, Department Chairs, Vice Chairs, and Deans.
Maintain and develop policies and procedures to uphold exceptional operational standards across all MMGE educational programs.
Provide administrative support to MMGE teaching faculty and course directors.
Research and disseminate proposal information, identifying potential funding opportunities to support program growth.
Manage applications, awards, and scholarships for Graduate School reporting of the MMGE Graduate Programs.
Assist in maintaining curriculum accuracy and compliance with relevant guidelines and regulations.
General Responsibilities
Provide comprehensive administrative support to executives, ensuring confidentiality, tact, and diplomacy.
Utilize business software applications to prepare correspondence, reports, presentations, agendas, and minutes.
Efficiently handle incoming calls, visitors, mail, and email with promptness, courtesy, and accuracy.
Manage executive's calendar, meetings, travel arrangements, correspondence, and budget.
Act as a resource for colleagues, offering guidance and support for complex inquiries.
Identify and optimize specific processes and procedures to enhance business efficiency.
Assist in maintaining internal websites and potentially work with social media platforms.
Support daily operations, planning, and implementation of various student services initiatives.
Perform front desk duties, including answering phones, emails, and delivering messages.
Serve as a liaison to campus partners, facilitating cross-departmental collaboration.
Maintain student records, databases, and provide guidance to student organization representatives.
Prepare materials, gather feedback, and contribute to program improvement initiatives.
Assist in promotional material creation and ordering for student organizations and departmental needs.
Undertake research on student services initiatives and design surveys for program evaluation.
Provide guidance and mentorship to other Student Services Coordinators.
Qualifications
Education: High school diploma or equivalent (such as HSED or GED). Bachelor's degree preferred.
Work Experience: Minimum of 4 years of relevant experience. Combinations of education and experience will be considered.
Skills: Excellent organizational skills, ability to maintain confidentiality, strong verbal communication, active collaboration, exceptional judgment and decision-making, effective conflict management.
Working Conditions / Demands
This role requires effective communication skills and proficiency in operating standard office equipment and computers. The position involves a mix of sedentary work and mobility within an office environment and across the campus. The individual should be able to perform essential functions with or without accommodation.
Additional Information
This position is grant-funded with expected annual renewals, subject to availability of grant funds.
Work Location:
This position is currently eligible for remote work, subject to university policy and business needs.
Salary
Competitive annual salary ranging from $32,531.20 to $45,344.00 based on experience and internal equity within the department.
