The University of Indianapolis is seeking a highly organized and proactive individual to join our team as the Dean's Administrative Assistant for the new College of Education and Behavioral Sciences. The person will provide comprehensive administrative support to the Dean, enabling the smooth functioning of the college and contributing to its overall success. The successful candidate will possess exceptional organizational and communication skills and the ability to work effectively in a fast-paced academic environment.

Responsibilities-Administrative Assistant College of Education and Behavioral Sciences
  • Prepare and distribute correspondence, memos, reports, and other documents as requested by the Dean.
  • Support faculty and students, addressing inquiries and directing them to appropriate resources within the college.
  • Assist in the coordination of student admissions and registration processes.
  • Assist in monitoring and managing the college's budget, including tracking expenditures, reconciling accounts, and processing financial transactions.
  • Administrative Support
  • Collaborate with internal and external stakeholders to ensure successful event outcomes.
  • Coordinate and manage the Dean's calendar, scheduling appointments, meetings, and events, ensuring efficient use of time and resources.
  • Assist in developing and maintaining databases, spreadsheets, and other systems for tracking various college-related information.
  • Arrange meeting logistics, including room reservations, audiovisual equipment, catering, and other necessary resources.
  • Maintain accurate and up-to-date records and files, both electronic and hardcopy, including confidential and sensitive information.
  • Prepare purchase requisitions, expense reports, and other financial documents per university policies and procedures.
  • Faculty and Student Support:
  • Coordinate and support faculty recruitment processes, including scheduling interviews and campus visits.
  • Budget and Financial Support:
  • Compile data and prepare reports on various aspects of college operations, such as enrollment, faculty activities, and budget expenditures.
  • Assist in preparing budget reports, projections, and analyses as required.
  • Assist in preparing presentations, reports, and agendas for meetings and conferences
  • Event Coordination:
  • Assist in the planning, coordination, and execution of college events, such as award ceremonies, conferences, workshops, and guest lectures.
  • Records and Documentation
  • Serve as the primary point of contact for the Dean's office, managing incoming communications (phone calls, emails, and mail) and responding to inquiries promptly and professionally.
Qualifications- Administrative Assistant College Of Education And Behavioral Sciences
  • Demonstrated ability to work independently and collaboratively as part of a team.
  • Familiarity with budget management and financial processes.
  • Strong verbal and written communication skills, with keen attention to detail.
  • Bachelor's degree in a related field is preferred but not required.
  • Proven experience in an administrative role, preferably within an academic setting.
  • Strong interpersonal skills and the ability to interact with diverse stakeholders, including faculty, students, staff, and external partners.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Proficiency in using office productivity software, such as Microsoft Office Suite and Google Suite, & virtual meeting platforms
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Previous experience working with social media would be beneficial.
