Dune Express Office Administrative Assistant-Remote

How You Will Make an Impact:

The Office Administrator is the first point of contact for our Dune Express Department. This integral role manages the front desk, welcomes, and greets guests, and works closely with the Management Team for travel, Expense Reports, and Meetings. This position is at our location that is about 1 mile from the New Mexico line.

RESPONSBILITIES:

  • Any other duties requested from manager
  • Plan in-house or off-site activities - parties, celebrations and conferences
  • Maintain the office condition and arrange necessary repairs
  • Will require occasional work outside of normal business hours – office events and urgent matters
  • Receive visitors at the front desk – greet, welcome, direct and announce accordingly
  • Assistant to Management Team – travel plans, expense reports and enter contacts
  • Organize the office, order supplies, coordinate deliveries and carrier pick ups
  • Answer, screen and forward all incoming calls
  • Coordinating registration and insurance for all Dune Express vehicles
  • Coordinate with IT department on all office equipment
  • Receive, sort and deliver incoming mail
  • Assist in the onboarding process for new hires
  • Manage break rooms – keep it stocked, order food and keep the area clean

QUALIFICATIONS:

  • Knowledge of office administrator responsibilities, systems and procedures
  • Proven experience as an Office manager and experience working closely with an Executive & Management Team
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Attention to detail and problem-solving skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • High school diploma or GED required
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Strong organizational and planning skills in a fast-paced environment
  • Excellent written and verbal communication skills
