Job Description
POSITION TITLE: Director, Building Operations


POSITION REPORTS TO: Executive Director


FLSA STATUS: Exempt


START DATE: July, 2023


The New York City Bar Association (City Bar), founded in 1870, is a voluntary association of lawyers and law students. The City Bar’s mission is to equip and mobilize a diverse legal profession to practice with excellence, promote reform of the law, and uphold the rule of law and access to justice in support of a fair society and the public interest in our community, our nation, and throughout the world.


DEPARTMENT FUNCTION


The Building Operations Department maintains and operates a 60,000 sq. ft. historic landmark building in midtown Manhattan with an additional 15,000 sq. ft. of commercial condominium space and 5,000 sq. ft. of basement space. The Department ensures that the building remains in compliance with all New York City Fire Department and Department of Buildings current codes and regulations. Environmental control, front desk/security operations and purchasing are integral parts of the Building Operations Department.


JOB FUNCTION


The Director of Building Operations is responsible for overseeing all aspects of this landmark building to ensure proper day-to-day management of the department including building maintenance, managing the building operations team (both union and non-union staff), and maintaining life-safety functions for all City Bar staff, members and visitors in the building. The position requires strategic planning and leadership of facilities projects including the procurement and execution of contracts and management of vendors in areas such as roofing, HVAC, structural replacement projects, and construction projects, as needed. Works collaboratively across departments consisting of a creative and diverse workforce to ensure successful execution of programs and events. The director will interact with the business agents of both local 32BJ and Local 94. Maintaining an environmentally friendly building for staff and guests is also essential.


MAJOR RESPONSIBILITIES include, but are not limited to:


  • Oversee purchasing department
  • Establish and maintain good working relationships with outside vendors for negotiation of service contracts and to ensure they are performing effectively; vendors can include contractors, architects, engineers, material/equipment suppliers, etc.
  • Develop, manage and track the operating and annual capital budgets
  • Direct and lead the building operations staff of 13 (3 non-union/10 union)
  • Lead and manage bid process for vendor selection
  • Ensure training and certification for all building operations is kept current; research, develop, and schedule safety training programs for appropriate staff
  • Maintain building emergency action plans for fire and life safety; develop and implement evacuation strategies, procedures, record keeping and staff training.
  • Continuously maintain the fire and life safety plan; monitor the security alarm system and fire alarm system
  • Continually strive to improve operational efficiencies by evaluating flow and quality of work
  • Collaborate with all Department Heads and communicate with staff regarding important building announcements and projects
  • Ensure successful execution of programs and events in facility
  • Serve on the Bar Building's condominium board as a representative for the New York City Bar Association (condominium space next door and connected to the City Bar’s building)
  • Provide oversight on all projects related to the building facilities operations including leading project meetings, determining and assessing scope of ongoing and special projects; serve as liason between all internal and external parties for successful project completion; oversee and manage construction and renovation projects
  • Ensure the effective upkeep of the City Bar’s furniture, furnishings and equipment


Knowledge/Experience/Skills


  • Collaborate effectively with union in Labor/Managaement meetings, on collective bargaining agreements and any grievance procedures.
  • CAT S95 - Supervisor of Fire Alarm Systems and Other Related Systems  
  • CAT F89 - Fire and Life Safety Director (FLSD)  
  • Strong communication and interpersonal skills and ability to present clear objectives, energize and inspire staff to achieve results and meet goals while creating a culture of collaboration within the team.
  • Certifications in the following areas required within the first 6 months of employment: 
  • Ability to use experience and best judgment to make decisions and present recommendations in an organized and professional manner.
  • Computer proficiency.
  • Professional degree in property management or equivalent experience.
  • Possess strong knowledge of building mechanical, structural and electrical systems.
  • Ability to work both collaboratively and independently, problem solve, take initiative, set priorities, well-organized, meet deadlines and handle multiple projects efficiently and effectively. Strong attention to detail.
  • CAT Q01 - Refrigeration Engineer certification - a plus but not required 
  • Minimum 8 years of commercial facilities management experience.
  • Experience working with contractors and in a union environment.
  • CAT F07 - Fire and Emergency Drill Conductor  


Candidates must be authorized to work in the United States. We are not able to sponsor visas for this position.


Compensation/Benefits


Starting salary will be $135,000 - $160,000 (annualized).
