Job Description

Responsibilities


· Directs the Operations Division and internal administrative functions of the 1199SEIU Training and Employment Funds (TEF), including:

  • Member payments and billing
  • In collaboration with the Family of Funds Strategic Support Division (SSD)
  • Liaise with the Information Technology (IT) Department to communicate the specific technology requirements and needs of TEF
  • Budget, finance and physical facilities
  • Provide strategic guidance for the development and enhancement of software applications, aligning them with organization objectives.

· Oversee the team that documents business requirements, specifies enhancements, plans and executes test plans, identifies opportunities for process optimization, and provides training for all TEF IT systems including Learning Management Systems, Member Portal, Member and Vendor Payments, and Reporting.

· Manage the utilization of technology infrastructure, processes and resources, and personnel across TEF. Drive integration of Operational efficiencies and leverage use of Information technology to:

o Improve existing process and systems to strengthen TEF agility in meeting new priorities.

o Ensure that data management and analysis support organizational outcomes

o Partner with SSD IT to ensure that IT solutions and equipment needs are met, and day-to-day support is provided in timely fashion.

o Improve overall operations service standards to minimize user problems, maximize member satisfaction and promote “smart work” processes.

• Direct systems’ maintenance, data management/analysis, reporting and quality assurances and staff support and training for over 300 staff members.

• Promote staff engagement in improving TEF operations, systems and staff development.

· Coordinate with Executive Director (ED), Chief of Staff, leadership team, and SSD Finance team to develop TEF annual budgets and projections and conduct reconciliation with Finance team on a regular basis.

· Execute revenue objectives and adhere to standard accounting and reporting policies, including development of annual budgets, review and analysis of finances, compliance with all regulations and reports for ED, Extended Leadership Team, and Board of Trustees.

· Monitor budget to efficiently deliver programs and services and oversee internal and external audits and oversee all collective bargaining finances, grants and related financial reports.

· Drive continuous customer service improvement in all aspects of member services

· Prepare and manage vendor contracts and process timely payment of invoices.

· Oversee the day-to-day operations of Member Payments to ensure compliance and benefit is distributed in line with policies established by the Board of Trustees.

· Collaborate with SSD finance team to ensure accurate, timely payments to members and colleges.

· Lead, plan and coordinate cross-multiple disciplines to ensure functionality, comfort, safety, and efficiency of workplace environment and facilities.

· Directs day-to-day management of the Manhattan office, local sites and regional offices. Collaborate with SSD Finance ensuring that appropriate facilities, equipment, and supplies are provided in a timely manner.

· Manage requests for maintenance, purchasing, repair and/or construction projects.

Qualifications

· Bachelor’s degree or equivalent years of work experience required

· Minimum eight (8) years’ experience managing staff, teams and partnership programs within a complex healthcare education environment required

· Must have previous experience in supervising, motivating, evaluating and developing staff readiness and accountability to enhance performance

· Commitment to quality programs and data-driven program evaluation

· Proven record in delivering effective leadership to support client management services

· Ability to execute strategies within a complex cross-functional team environment

· Demonstrated project management skills with ability to lead staff/teams across solid and dotted reporting lines
