BUSINESS OPERATIONS ADMINISTRATOR
We are seeking a detail-oriented and highly organized Business Operations Administrator to support the President while streamlining our administrative procedures, manage our internal databases, liaise between clients and consultants, and support our daily office operations. The successful candidate will be proactive, efficient, and excellent in communication, demonstrating professionalism while working with both clients, consultants, and the internal team in this fast-paced organization.
This position is responsible for providing administrative and operational support with the day-to-day actions of the business to ensure smooth and efficient operations of the Intrinz Inc consulting business.
DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
- Scheduling (and planning) of consultants for availability
- Coordinates with other support departments such as human resources (recruitment, training), business development and marketing to ensure successful flow and understanding of consulting operations.
- Builds and maintains consultant directory and matrix
- Contracting Support/Client Agreements
- Develops and drives process with other support departments such as human resources, business development, and marketing to ensure successful flow and understanding of consulting operations
- As needed, research and/or assist with RFP responses
- Responsible for developing and streamlining processes for internal/ external associates/consultants:
- For example: partner with Business Development Manager for pipeline collaborating, updating calendar and upcoming projects
- Ensuring people have what they need to do their work (business tools, system access, training)
- Partners with HR to ensure staffing needs/pipeline is meeting project needs
- Engagement check-in with employees/contractors
- Plans, organizes, and oversees office operations to ensure efficiency and productivity
QUALIFICATIONS
- Proficiency in MS 365 product
- Able to reflect enthusiasm and energy to motivate
- Strong organizational skills required
- Bachelor’s degree in Business Administration, Operations Management or related fields preferred
- Excellent written and verbal communication skills
- 4-5 years in proven experience in administrative role, preferably within a consulting environment

- Ability to handle sensitive and confidential information with discretion
- Ability to think/act strategically while also have the ability to “be in the weeds”
- Ability to problem solve with calm demeanor
- Ability to work independently and as part of a team
- Manage multiple projects/tasks concurrently
