The Benefits & Immigration Coordinator will support the U.S. Benefits Manager and U.S. Immigration Manager with various administrative responsibilities. Being able to work autonomously and efficiently to ensure the end-to-end running of operations are done accurately and timely. Having initiative and being able to multi-task are critical in the role. The ideal candidate will have a broad knowledge of benefits as well as general administrative responsibilities.


Benefits Responsibilities


  • Monitor changes and help resolve issues in the benefits portal
  • Assist with any reconciliation of invoices when required by accounting
  • Partner with Benefits Manager and HRBPs to effectively administer benefits to all USA staff
  • Maintain contact with insurance providers to assist in resolving employee issues.
  • Recommend improvement of any internal benefits processes
  • Work with cobra third party administrator to resolve any enrollment issues
  • Help coordinate the annual wellness calendar
  • Coordinate with outside vendors and providers to set up webinars and wellness events for employees
  • Increase knowledge by meeting with brokers to learn about rules and guidance regarding benefits
  • Assist in the rollout of Annual Enrollment with guidance from the Benefit Manager
  • Help monitor the Benefits inbox
  • Assist new hires with enrolling in benefits as well as answer general benefits questions for employees
  • Perform weekly, monthly and quarterly audits of benefit enrollments where necessary
  • Follow up with employees and our 3rd party Absence Management Provider to monitor employee leaves of absence and keep the HRBP updated
  • Help maintain updated documents in the company internal portal


Immigration responsibilities


  • Manage the labor certification process for PERM cases
  • Assist with posting labor certification at the employee’s worksite(s)
  • Draft and mail H-1B withdrawal letters to USCIS
  • Update immigration tracker as necessary
  • Assist U.S. Immigration Manager with collecting employee and employer documentation for visa application

Qualifications


  • Ability to exercise judgement and discretion with sensitive and confidential information.
  • Excellent organization skills, ability to multi-task, prioritize, and be a team player
  • Minimum 2 years of benefits experience.
  • Bachelor’s degree in Human Resources or Business Administration preferred
  • Contribute to process improvement
  • Ability to work independently with minimal supervision, but within a team environment
  • Highly proficient with Microsoft Office Suite products
