Job Description

EudaCorp is looking for an Administrative Assistant to join our growing team. In this role, you’ll organize and oversee a broad array of office support functions including but not limited to being a receptionist, processing mail, maintaining office supplies, managing payment invoices, tracking expenses, and monthly account reconciliation. Prior office management experience, Microsoft office suite, bookkeeping, and excellent organizational and customer service skills preferred.

RESPONSIBILITIES:

  • Responsible for receiving and distributing weekly disbursement vouchers
  • Maintains utmost level of confidentiality regarding any and all information
  • Answers phone calls, schedules meetings and supports visitors
  • Responsible for creating and maintaining files and records, as required
  • Oversees office supplies – ordering them as needed and keeping track of inventory
  • Handles basic bookkeeping responsibilities (e.g., tracks income, makes bank deposits and completes monthly bank reconciliation under the supervision of the executive director)
  • Provides administrative support to ensure efficient operation of office
  • Maintain solid relationships with staff, Haskell University employees, board, donors and the community
  • Generate checks for vendor supplies
  • Operates copier, scanner and facsimile machines to reproduce and send records and reports
  • Use computer software to prepare invoices and financial statements
  • Performs other duties as assigned
  • Receives and distributes incoming communication, (e.g., mail and phone calls)
  • Code and file financial material according to established records management procedures
  • Prepares various documents including typed correspondence, email, forms, reports, charts, and graphs

REQUIRED QUALIFICATIONS:

  • Experience in work settings with diverse groups and/or individuals
  • Nonprofit experience a plus
  • Familiarity with CRMs and project management software a plus
  • Proficiency with Microsoft Office Suite (Excel Word, Outlook, PowerPoint); basic level experience with Adobe Acrobat Professional and other Adobe products
  • Experience managing multiple projects, coordination of events/activities, or arranging travel-related activities
  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Records management & retention experience
  • Strong customer service skills
  • Basic bookkeeping experience, especially in accounts payable/receivable & reconciliation
  • Ability to create and use spreadsheets and databases
  • Knowledge of office management systems and procedures
  • Good organization, time management and scheduling skills
