Job Description


Job Title: Adminitrative/Office Coordinator


Position reports to: Chief of Staff


General Purpose And Scope (Summary)


The Office Coordinator prioritizes and executes a wide variety of short and long-term tasks on a regular basis to support the daily operations of the corporate office. This person is extremely friendly and positive, organized, and collaborative. The Office Coordinator is timely, consistent, reliable, and enjoys working both independently and as part of a team. The ideal candidate for this role is a problem solver with a positive attitude, has excellent communication skills and a strong attention to detail.


*Must report to the Milford Office daily*


Functions


  • Book travel arrangements, at the direction of senior management
  • Schedule appointments and maintain office calendars
  • Assist with corporate event planning, as needed
  • Greet visitors at the front desk
  • Answer customer inquiries via phone, email, and other methods; take ownership of understanding the customers’ needs, and transferring customers to the appropriate parties
  • Supports with upkeep of the company intranet, ensuring content is up to date and compelling; updates company contacts, events, and other content as directed by senior management
  • Act as a liaison between all TMS departments and help facilitate teamwork whenever possible
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Maintain contact lists for the company, both internal and external
  • Maintain office supply inventory, order office supplies, maintain kitchen and supply closet as needed
  • Accept and distribute mail
  • Assist with office communications, as needed
  • Other duties as assigned by management
  • Create and maintain filing systems, both electronic and physical. Make recommendations for improving filing systems to management, as needed

Education And Experience


  • Bachelor’s Degree Preferred, but not required

  • Hours for position: Monday through Friday - 9am-5pm
