Job Description
We are currently seeking a highly motivated and driven Administrative Assistant/Bookkeeper for Real Property Management South Orlando. The Administrative Assistant/Bookkeeper is responsible for supporting business operations through administrative tasks, accounts receivables and accounts payables, as well as providing courteous and professional direct interaction with prospective and current property owners and tenants. This role interacts with every unit of the business and is the key to achieving effective communication across the organization. This position is often the face of Real Property Management South Orlando and requires candidate to be friendly and outgoing while maintaining the utmost professionalism.
Responsibilities
  • Attend and participate in office meetings
  • Execute appropriate actions against tenants in arrears
  • Help create office documents (3-day notice and Notice to Impose a Claim on the Security Deposit)
  • Manage office supplies inventory
  • Create and close deposits
  • Provide administrative support for the office
  • Answer questions/resolve customer issues
  • Assist with collections of past due funds
  • Enter and maintain vendor invoices and checks
  • Reception – cheerfully and professionally interact with visitors, whether in person, via telephone, and/or email correspondence. Direct them as appropriate.
  • Other duties as assigned
  • Data entry and file maintenance
  • Vendor onboarding
  • Enter and maintain late fees
  • Enter and maintain tenant charges and payments
  • Assist general manager in processing check runs three times a month
  • Upload inspection videos to hard drive
Qualifications
  • Local area knowledge
  • Exceptional interpersonal skills
  • Proficient with computers, emails, and Microsoft Office applications
  • 2 years’ related experience in administrative support or bookkeeping
  • Must be dependable and able to work in a fast-paced environment
  • Ability to act and operate independently with minimal daily direction from manager to accomplish objectives
  • Highly organized with strong time management skills
  • Detail oriented
  • A minimum typing speed of 40 words per minute
  • Naturally driven to provide excellent customer service
  • Strong analytical thinking and troubleshooting skills
  • Excellent written and verbal communication skills
  • Ability to work cooperatively and collaboratively with all levels of employees and management and external agencies to maximize performance, creativity, problem-solving, and results.
