- Partner with relevant departments and external partners to coordinate company sponsored events and/or projects
- Prepare and submit expense reports including collection of receipts
- Maintain various databases and contact lists
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Create presentations, ad hoc reporting and confidential correspondence
- Ability to interact with all levels of staff in a fast-paced, multi-site business
- Ability to solve complex problems
- Serve as backup to Associate Services Administrator with duties such as but not limited to associate onboarding, training
- Record meeting notes and action items, provide summary of meeting(s) to executive leaders
- Managing vendor invoicing and purchase order processes
- Proactive and resourceful with the ability to work independently
- Professional demeanor coupled with a "can do" positive attitude
- Manage incoming and outgoing phone and email communications
- Manage company data and record retentions process
- Interface with various stakeholders including senior to mid-level executives, associates, vendors, and customers with a high level of professionalism
- Coordinate meetings, travel arrangements and maintain multiple executive calendars
- Foster and maintain strong internal and external professional relationships
- Exceedingly well organized with the ability to prioritize conflicting demands
- Minimum 5 years of experience as an Administrative or Executive Assistant
- Strong written and verbal communication skills required
- Must be available to travel as needed
- 5 + years of experience with calendar management, meeting coordination and making travel arrangements
- Must be technology savvy and highly proficient with Microsoft Outlook, Word, Excel and PowerPoint
- Strong project management, process improvement and event planning skills
- Solid business acumen and informed on current events in the business world
