Job Summary
Under the general supervision of the Assistant Director, Teacher Preparation Advising Center, the incumbent will serve as the initial "frontline" student support contact for the Teacher Preparation Advising Center (TPAC) and the Center for Student Outreach & Engagement (CSOE). The incumbent will provide consistent support in responding to incoming calls and emails; greeting a diverse array of current and prospective students, staff, and faculty; providing administrative and operations support; and directing students to the appropriate advisor or support office. In particular, the incumbent will provide administrative support for the Initial Teacher Credential Program Advisors and Outreach & Engagement professionals.
Key Responsibilities
- General Office Coordination and Communications: Perform general office coordination; interface with Dean’s office operations as needed; maintain supply inventories; update flyers, communication boards, handbooks, and other processes. Assist advisors with digital flyers, social media, and newsletter communications. Coordinate workshop and info session registrations, including room reservations and student communications and evaluations.
- Population of current and prospective students, faculty and other staff members; monitoring and maintaining coverage for the main phone line and email; directing students, staff and faculty to the appropriate office, advisor, or program coordinator; respond to basic student questions and program inquiries in-person and in digital spaces (e.g., Zoom, Teams); check in students for appointments or assist in scheduling appointments for further advising; assisting with orienting and supporting student peer mentors; and providing culturally responsive, equity-minded services.
- Student Applications and Advisor Support: Using digital systems, review student program application information to ensure application completion and contact students regarding missing documents. Effectively utilize software and programs to assist with application tracking. Assist with the processing of both program and student teaching applications, including interfacing with faculty and students. Manage the program interview process for MSCP, ESCP, UDCP, and other credential programs. Process Course Equivalency Requests, Requests to Waive 7-Year Limit on Credential Coursework, and other required procedures. Assist in tracking student teaching evaluations in an online clinical practice tracking platform. Contact students and faculty when items are missing.
- General Reception: Serve as the primary receptionist in greeting a diverse
Knowledge Skills and Abilities
- Ability to collaborate with administrators, staff and faculty in a support role;
- Must provide evidence of initiative in creating solutions, supporting projects, and improving communications.
- Proficiency with MS Office, database software, and web-based programs and systems (One Drive, Canvas, etc).
- Strong customer service and interpersonal skills.
- Experience with diverse student populations.
- Must be willing to participate in Staff Governance in the College and engage in staff professional development activities.
- Must be professional in presentation, work ethic, and follow-through.
- Demonstrates interest in supporting student success.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Education and Experience
Equivalent of three years of administrative support experience required. Equity-minded with proven experience working with diverse populations. Experience with student support services as a student or staff member.
Physical Summary
Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
CSU Classification Salary Range: $3,338 - $4,913 per month.

Time Base
1.0 time-base, 40 hours per week.
Duration of Appointment
