Company Overview:

We are looking for a Virtual Operations Coordinator for one of our clients which is the leading fencing company in the Central Rockies and specializes in providing custom fencing solutions for commercial and residential clients. Our team of professionals is committed to providing exceptional customer service and installing high-quality fences and wall structures. We solve problems collaboratively and pride ourselves on exceeding our customers’ expectations.

Job Summary: 

We are seeking a detail-oriented and highly organized Virtual Operations Coordinator to join our team. The Virtual Operations Coordinator will play a crucial role in ensuring the smooth functioning of various office and project tasks at Strategic Fence & Wall. 

Key Responsibilities :

- Phone Reception and Request Handling: Be the first point of contact for clients and business partners. The responsibilities include answering incoming calls and addressing inquiries in a professional and courteous manner. This position requires actively listening to requests, gathering relevant information, and efficiently directing calls to the appropriate person or department, thereby ensuring a positive and favorable image of the company.

- Misc. Project Management: Manage low-complexity projects. This may involve handling inbound requests, collecting project details, and efficiently scheduling projects. Coordinate with the project manager and crew leads to ensure projects are completed successfully and by exceeding customer expectations.

- HR Manual Creation: Develop and maintain an up-to-date HR policy manual in compliance with legal and organizational standards. Collaborate with management to facilitate these updates regularly, reflecting changes in policies and regulations.

- New Employee Onboarding: Manage the onboarding process for new employees. This includes collecting required documents and records, ensuring accurate completion, and filing them in the HR repository. To facilitate a smooth integration into the company, you will also coordinate orientation sessions and introductions for new hires.

- Employee Timekeeping: Oversee employee timekeeping. Ensure time is tracked and coded accurately.

- Document Management: Maintain organized records of contracts, permits, project plans, employee records and other essential documents in a digital centralized repository.

Preferred Requirements:

- Excellent communication skills, both verbal and written.
- Ability to work in Mountain Time Zone.
- High school diploma or equivalent; additional relevant certifications or coursework is a plus.
- A strong bias for action, with high attention to detail.
- Proven experience in administrative roles, or similar positions. Demonstrated success with remote experience is strongly preferred.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Ability to work collaboratively with cross-functional teams.
- Proficient in using Google Workspace, Quickbooks Online, and Hubspot. Demonstrated ability and a curiosity to learn software applications to make office tasks and project coordination more efficient.
