Job Description

Our client, a global financial firm, is looking for a temporary (with possibility of permanent placement) Travel Coordinator who has a minimum of 2 years of dedicated travel coordinating experience. This role sits on-site and will be responsible for coordinating the travel for all of the firm's US employees.


Responsibilities:

  • Research and quote travel options via Concur Solutions
  • Coordinate employee and family relocations including temporary housing and pet accommodations
  • Provide support for all travel related items including flight changes and cancellations and other traveler issues, both domestic and foreign
  • Ensure all employee travel is in line with internal travel policy (cost, class of service, duration, ground transportation)
  • Manage relationships with external agencies and participate in service calls, annual reviews and contract negotiations
  • Work directly with employees to facilitate quotation and booking of all business travel while providing excellent customer service
  • Perform price comparison for international flights between carriers and agencies
  • Manage corporate travel rewards programs, tracking and applying points to offset travel costs
  • Diligently maintain travel documents, profiles and booking and reporting spreadsheets
  • Alert US and international offices of visiting employees
  • Create detailed travel itineraries
  • Coordinate and document approval of trips with employee’s manager before booking
  • Assist in month-end corporate card reconciliation processes
  • Research and communicate COVID requirements for each country, ensuring documentation is completed and all requirements are met
  • Create employee travel profiles inclusive of name, DOB, IDs, frequent flier numbers, seat preferences, addresses and additional related details
  • Manage travel visa procurement including preparation of documentation, checks, and coordination with visa expeditor services
  • Coordinate quotation and booking of travel with external travel agencies including flights, hotels, rental cars and car services


Ideal person will have:

  • Must have Concur experience; SABRE is a plus
  • Available after hours and weekends for travel emergencies
  • Strong organizational skills
  • 2+ years’ experience booking business travel
  • Portuguese fluency preferred
  • Customer service oriented
  • Proficient in MS Office
