Inventory & Sale Coordinator, Jewelry - Luxury

The Role
The primary function of this role is to act as the central point for the successful execution of sales by monitoring and tracking all activities and elements related to incoming and outgoing property. The Inventory and Sale Coordinator will also acts as a liaison both internally and externally to gather or dispatch consignment and property related information. The successful candidate must be a dynamic problem solver, organized, calm under pressure and be able to communicate with professionalism and clarity to key stakeholders across the Luxury division, senior team members and clients.

Specific duties & responsibilities will include but are not limited to
  • Telephone bid in all Luxury sales as required
  • Lay out property for catalogue and place in photography bags. Track movement of all property
  • Manage buyer post-sale enquiries and execute settlement process for sales, following up with internal teams on unpaid lots, sending post sale lot advice and settlement statements
  • Request and track temp releases, hand carries, and other property movements such as site transfers and local transfers
  • Support Shipping Coordinator with property drop offs and inventory logistics
  • Assist with exhibition set up and break down, and work with colleagues in dressing and undressing jewelry forms
  • Create delivery binder, highlighting lots that have a certificate and/or box, prepare lot tags and bags for jewelry with sale stickers
  • Act as central liaison between security guards, specialists and restorers and testing centers (GIA etc.), ensuring clear directives for work to be completed and clear communication in relation to touring, photography and auction deadlines
  • Oversee pre-sale and settlement process following assigned auctions, ensuring sellers are paid out accurately per their contract terms
  • Help coordinate all Dealer Viewings for auction and international touring property, prepare and manage associated jewelry trays
  • Work closely, efficiently, and effectively with other specialist departments as well as regional and international colleagues
  • Organize and manage all property in the jewelry vault, including labelling of trays and organization of all property
  • Collate actions for unsold items from specialists and action in JDE and physical property for returning to owners or reoffering in upcoming auctions
  • Assist with property collection and delivery as necessary post-auction

The Candidate
  • Bachelor’s degree required, or equivalent work experience.
  • Strong project management skills including timeline management and the ability to multi-task and prioritize
  • Knowledge of jewelry and basic art handling or a proactive willingness to learn
  • A prior experience in a department in an auction house and knowledge of the auction workflow and processes preferable
  • Ability to remain calm in stressful situations
  • Ability to nimbly collaborate and problem solve across multiple teams and sale sites
  • Exceptional client service skills including superior verbal and written communication skills
  • Strong attention to detail and follow-up skills
  • Fluency in English required, secondary languages desirable
  • Ability to work with discretion when dealing with highly confidential information
  • Strong knowledge of Excel and Outlook
  • Knowledge of Christie’s systems COS and JDE preferred, or ability to learn systems quickly

Compensation Range
Salary: $50,000.00 - $55,000.00
