Job Description

Overview /Objective
The Special Events Assistant plays an integral role in supporting the special events team with the execution of all tentpole events and meetings with a focus on hotel management.
Responsibilities
  • Assist and oversee venue/hotel sourcing for League and internal department meetings.
  • Manage hotel reservations for 800+ attendees at all major events which includes Super Bowl, Pro Bowl, Combine, Draft and meetings.
  • Coordinate with pop-up dinners and meetings throughout the year for the NFL Executive office.
  • Support operations at the Super Bowl Headquarter hotel to include hotel reservations and office setup.
  • Work with the team in various capacities including contract management, updating special events schedule and vendor/ billing coordination.
  • Provide support to Special Events Manager on Super Bowl hotel assignment process working closely with our partners on assigning 20,000 hotel rooms.
  • Support the Super Bowl Suites Hospitality Program including website creation, organizing walkthroughs, oversite of parking assignments and other suite package needs.
  • Work closely with the Special Events team on meeting and event operations leading up to and during all NFL tentpole events and various other events/meetings throughout the year. Responsibilities to include, client check-in and registration, credential distribution, and other on-site support as needed.
  • Oversee the execution of 100+ hotel contracts for future Super Bowl and Draft bids.
Required Qualifications
  • Experience working with C-level Executives and VIP guests
  • 3-4 years’ experience in hotels, event planning and hospitality
  • Ability to manage multiple projects in a fast-paced environment
  • Proficiency in Microsoft office (PowerPoint, Word, Excel, Outlook)
  • Knowledge of hotel reservation systems and hotel management
Preferred Qualifications
  • Bachelor’s Degree or equivalent education

Salary / Pay Range
