Title: Special Events Coordinator
Location: Midtown (Hybrid)
Org Unit: Events
Work Days: Monday - Friday (weekend and evening hours as needed)
Exemption Status: Exempt
Salary Range: $70,000.00 - $96,000.00
*As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices
Position Summary
Under guidance, this position assists with the coordination, logistics and execution of Weill Cornell Medicine's special events and programs.
Job Responsibilities
- Recommends and implements procedures for smooth functioning of special events team.
- Designs, fact-checks, and produces event materials including invitations, reply devices, programs and signage. Assists in the preparation of briefings for leadership.
- Works with gift officers to compile mailing list parameters to generate appropriate lists for event mailings.
- Ensures compliance with all policies, regulations, and laws pertaining to content and use of donor/patient data and IRS regulations.
- Works with Operations related to Legal review of contracts and agreements. Proactively monitors payment cycle for various events. Creates financial reports and ensures that event expenses are charged to the appropriate budgets.
- Participates in events strategy development. Handles all logistical elements of events, including identifying venues, arranging audio-visual solutions, working closely with venue personnel, caterers, seating arrangements and vendor management.
Education
- High school diploma or GED
Experience
- High adaptability to work in a dynamic environment is preferred.
- At least 3 years relevant experience.
- Demonstrated ability to regularly employ proven active listening skills is preferred. This includes the ability to effectively hear, understand, interpret, and respond as situations necessitate.
- Demonstrated ability to develop and manage long-term, trusting, and collaborative, relationships with internal and external stakeholders in an environment where a relationship is crucial to on-going success, is preferred.
- Keen eye for esthetics is preferred.
Knowledge, Skills and Abilities
- Demonstrated problem solving and analytical skills, coupled with the ability to identify issues, obtain mutual agreement as to the resolution, and implement change, are required.
- Advanced proficiency in the use of MS Office Suite applications required.
- Advanced organizational and oral/written communication skills are required, as is the ability to manage priorities effectively and efficiently.
- Demonstrated proficiency in the use of database applications required, specifically knowledge of Blackbaud or other donor CRM systems. Ability to learn new applications as needed.
- Demonstrated proficiency in event management required. This includes the ability to plan and execute special events from event conception to logistical planning to on-site coordination.
- Strong strategic planning skills required. This includes the understanding of processes involved in defining strategy or direction.
Working Conditions/Physical Demands
- Some travel outside NYC.
- Extensive travel within NYC.
- Some evening and weekend work.
