General Description


Niagara County Community College has an exciting opportunity for a highly motivated and talented individual to join our dynamic Public Relations team as an Events Coordinator. As an Events Coordinator, you will play a crucial role in planning, organizing, and executing a wide range of events, ensuring their success and creating memorable experiences for clients and attendees. This is a full-time, 12-month, college funded administrative position reporting to the Director of Public Relations.


This position will work with both campus constituents and external clients from initial inquiry through event execution, providing guidance and exceptional customer service. The Events Coordinator will spearhead initiatives to drive new business and improve communication. This position is responsible for planning, communicating and assessing the services associated with external events including managing reservations, billing and scheduling of campus facilities not associated with the College’s academic course schedule. The Event Coordinator will also lead high-level events including Commencement, the Gingerbread Wonderland, semi-annual campus-wide convocations, and other minor College-wide events coordinated by the Public Relations Office.


To be successful in this role individuals must have exceptional oral and written communication skills for dealing with clients, vendors and staff. Strong organizational and planning skills to coordinate the actions of multiple parties. Creative thinking skills to assist in event design and logistics. Multitasking ability necessary to move from one task to another at a fast pace. Good networking skills to build relationships with vendors and suppliers and attract new customers.

Typical Work Activities


  • Gather information about the Client’s (internal and external) objectives. Act as a liaison between the Client (internal and external) and other College entities as necessary.
  • Other duties as assigned by the Director of Public Relations and the Assistant Vice President of Institutional Advancement.
  • Collaborate with the Public Relations team and others on various projects.
  • Collaborate with Public Relations staff to create and develop engaging marketing and collateral materials to cultivate facility rental and increase revenue for various campus services.
  • Manage event project plans, including event timeline, budget, major event deadlines, roles and responsibilities of on campus personnel and volunteers.
  • Serve as the primary coordinator and point-of-contact in the effective planning, organization, and execution of campus-wide events including, but not limited to: Commencement, Gingerbread Wonderland, The NCCC Foundation Gala, semi-annual campus-wide convocations, College participation in external events such as parades, fairs, and smaller public relations events as necessary.
  • Schedules spaces, assists in the coordination of arrangements for outside organization events, and guide users in contacting other campus services (Dining Services, Campus Police, Facilities, OIT ) as necessary for the events booked in college facilities.
  • Research bringing groups to NCCC during off-peak academic times that could use the campus residence halls and other facilities that are underutilized.
  • Effectively and professionally communicate event planning details with campus offices and external stakeholders
  • Coordinate the event reservation schedule for internal reservations making sure offices follow through with work orders, technology requests, and Dining Services banquet orders. Assist in the preparation of permits and other documents, filing, and the accurate collection of outstanding fees/documents related to the event.


Essential Functions


Ability to navigate relationships with diverse populations. Ability to operate computers for using word processors, spreadsheets, and e-mail. Must be able to lift and carry at least 50 pounds and to physically perform the typical work activities. Must be able to work a flexible schedule including nights, and weekends depending on the needs of the College.


Required Qualifications

  • Good networking skills to build relationships with vendors and suppliers and attract new customers.

  • Bachelor’s degree


Desirable Qualifications


  • Master’s degree
  • Knowledge of risk management to identify potential legal liabilities and take steps to mitigate them.
  • Five (5) years full-time experience in event planning and execution experience.
  • Certification in event planning.
