My client is a prestigious company located in the Greater Boston area that's seeking a highly skilled and experienced Senior Executive Personal Assistant to support their CEO. The successful candidate will play a critical role in managing the CEO's challenging work schedule while also providing comprehensive personal assistance, including coordination of family schedules and private plane arrangements. This is a high-profile position that requires exceptional organizational skills, attention to detail, and the ability to handle multiple priorities with discretion and professionalism.
Responsibilities:
- Assist with the coordination of the CEO's family schedule, including managing appointments and activities for the CEO's children and spouse.
- Manage the CEO's personal and professional correspondence, including drafting emails, memos, and other communication materials.
- Prepare and compile meeting materials, including presentations, reports, and agendas.
- Efficiently manage the CEO's complex and ever-changing calendar, including scheduling meetings, appointments, and personal commitments.
- Attend meetings with the CEO, take comprehensive meeting minutes, and follow up on action items as required.
- Act as a gatekeeper, screening and managing incoming calls, emails, and visitors for the CEO.
- Liaise with internal and external stakeholders, including board members, senior executives, clients, and partners, on behalf of the CEO.
- Maintain confidential records and files, exercising utmost discretion and confidentiality at all times.
- Proactively anticipate and resolve scheduling conflicts, ensuring the CEO's time is optimized and priorities are met.
- Conduct research and prepare briefing documents for the CEO's meetings and events.
- Coordinate private plane arrangements, including scheduling, ground handling, and catering, ensuring smooth travel experiences.
- Assist with special projects and initiatives as assigned by the CEO.
- Coordinate domestic and international travel arrangements for the CEO, including flights, accommodations, ground transportation, and visa requirements.
Requirements:
- Experience in real estate or property management is a plus.
- Flexibility to work beyond regular business hours and travel with the CEO as needed.
- Proficiency in using calendar management tools, travel booking systems, and Microsoft Office Suite.
- Minimum of 10 years of prior C-Suite and personal assistant experience, demonstrating a high level of proficiency in managing executive-level responsibilities.
- Exceptional organizational and time management skills, with the ability to handle multiple tasks and priorities simultaneously.
- Bachelor's degree is required.
- Discretion and confidentiality when handling sensitive information.
- Experience assisting C-Suite executives with private plane coordination is also a plus.
- Ability to work independently, take initiative, and make sound judgments.
- Excellent written and verbal communication skills, with the ability to draft professional and polished correspondence.
- Strong attention to detail and accuracy, ensuring all tasks are completed to the highest standards.
