Job Description

Dagen Personnel is recruiting a Temp to Hire Executive Assistant for a non-profit in the Energy Corridor. Support the CEO of this PROFITABLE non-profit. Do what you love!

JOB SUMMARY:

The Executive Assistant is responsible for providing professional administrative support of a complex and confidential nature.

ESSENTIAL FUNCTIONS:

Coordinate quarterly board meetings with high profile leaders. Understand communication styles and be able to communicate professionally.

1. Coordinate appointments, seminars, travel arrangements and business activities as requested by the President/CEO.

2. Handle outgoing and incoming calls and mail for the President/CEO.

3. Handle all incoming and outgoing mail for the President/CEO.

4. Represent the executive office professionally through correspondence, telephone and personal contacts.

5. Proof and edit reports, presentations and other written communication.

6. Maintain all files for the President/CEO and manage the central filing system for Foundation.

7. Prepare and submit expense reports for the President/CEO.

8. Supervise daily office operations and manage office supplies as needed for corporate office.

9. Coordinate travel and hotel accommodations for other staff and board members as requested by the President/CEO.

10. Assist the President when communicating with the Board of Directors.

11. Update Conflict of Interest Statement at the start of each fiscal year.

12. Receive strategic plan updates from executives and input the updated information into the main document quarterly.

13. Receive and collaborate Vice Presidents’ monthly Progress Reports and Financials for the President’s report by the 3rd business day of each month.

14. Assist other members of senior management as requested and approved by the President/CEO.

15. Initiate, create and prepare forms, reports, templates and presentations as requested, using MS Excel, Word and Powerpoint.

16. Maintain strict confidentiality on all client and foundation matters and refer questionable issues to President/CEO.

17. Ensure completion of Big 5 performance management tool by the required deadlines and use of SMART goals to support annual performance compensation review.

18. Perform additional duties as assigned and consistent with the exempt functions as defined in this job description.


QUALIFICATIONS:

  • Above average knowledge of Microsoft Office, specifically including MS Excel, PowerPoint, Outlook calendar.
  • Ability to exercise confidentiality, discretion and judgment.
  • Excellent organization and communication skills.
  • Ability to adapt to changing deadlines and priorities.
  • Ability to work with a positive and professional attitude.
  • Ability to work with a diverse mix of personalities and career levels.

  • High School Diploma or GED required /College degree preferred.
  • Five or more years of executive administrative or related experience.
