Job Description
Everyware is looking for a forward-thinking Executive Assistant that is always a few steps ahead in planning/coordinating. This role will be 60% Executive Assistant and 40% Office Management. We’re looking for someone who thinks outside the box and not only gets the job done, but gets it done better than we even imagined. The EA will be required to work onsite 4 days a week.


RESPONSIBILITES


  • Meeting Support- Assist in the preparation of agendas, presentations, and other relevant materials for meetings, take accurate minutes, and follow up on action items to ensure timely completion. This includes but not limited to leadership meetings, company all hands meetings, and board meetings. Coordinate conference room needs for team meetings.
  • Property Management- Maintain the calendar for all guests staying in the Everyware Apartment. Coordinate cleaning services before and after guest visits. Ensure property is fully stocked with snacks and drinks for all guests.
  • Confidentiality and discretion- Maintain the highest level of confidentiality and discretion while handling sensitive information and matters pertaining to the CEO and the organization.
  • Event Coordination- Lead the planning and organizing of company events, in office lunches, board meetings, and other high-level gatherings, including logistics, venue selection, catering and audiovisual arrangements if needed.
  • Travel Coordination- Coordinate all travel logistics for CEO and other members of the Everyware team.
  • Calendar management- Schedule and prioritize meetings for CEO while ensuring optimal time allocation.
  • Office Management- Manage office logistics including my not limited to welcoming guests, receiving mail/packages, office supplies and snacks, general upkept of the office environment and other related tasks as needed. Partner with People Operations team for all new hire onboarding to ensure new employees are set up for success from day one.
  • Expense and Budget- Collecting, categorizing and filing all expenses related to CEO spend and Office Management spend.


Requirements


  • Ability to work in the Downtown Austin office 4 days a week.
  • Required to occasionally work outside of business hours to accommodate our CEO who is a very fast-paced leader.
  • Highly skilled in Microsoft Office Suite, Power Point, Excel
  • 3-5 years’ experience supporting at least a VP level or higher in a fast-growing organization.
  • Strong organizations and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information.
  • Professional, positive attitude, and strong interpersonal skills.
  • Exceptional attention to detail and accuracy in work output.
  • Flexibility and adaptability to accommodate changing priorities and work demands.
  • Excellent verbal and written communication skills, including the ability to compose professional and polished correspondence.
