The Opportunity
We are seeking an Executive Assistant (EA) to support our Chief Executive Officer (CEO) in a diverse, dynamic, and confidential role. As the EA to the CEO, you will be responsible for providing comprehensive executive-level administrative support, managing complex schedules, arranging travel, preparing itineraries, processing expenses, compiling reports, presentations, and much more. Your professionalism and discretion will be crucial as you handle highly sensitive financial, personnel, and institutional information.
What You Will Do
Access, review, prioritize, and respond to inbound communications.
Manage and schedule the CEO's daily calendar and business activities, across different time zones, to maximize efficiency and meeting cadence.
Act as a central point of contact for coordinating the CEO's activities and ensure the preparation of relevant documents and briefing materials.
Take charge of administrative management for executive, leadership, and board of director meetings, events, etc. Drive an effective cadence of meetings by preparing agendas, presentations, and logistics.
Arrange domestic and international business travel, complete travel and expense reports, and manage logistics of travel-related activities.
What You'll Need To Succeed
Minimum of 5 years of advanced executive administrative experience working with C-suite or executive-level management.
Experience within a Fortune 500 or Fortune 1000 company (fast-growing/start-up experience preferred).
Strong communication skills (written and verbal) with the ability to engage effectively with internal and external stakeholders, including colleagues, leadership, Board members, customers, and partners.
Discretion and judgment to handle private and proprietary business information, data, transactions, and correspondences with utmost confidentiality.
Ability to build strong working relationships and exercise independent judgment with minimal direction.
Expert organizational and time management skills, adept at managing competing priorities with minimal supervision.
Superior follow-up skills and meticulous attention to detail.
Resourcefulness and tenacity in accomplishing objectives.
Advanced proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel) and overall technical savviness.
