The Role The Sales Operations Coordinator will be responsible for supporting the sales team by leading and facilitating collabor a tiv e efforts among all internal departments to ensur e targeted objectives are on t r ack. This role will provide professional & effective customer service to new and existing customers while serving as a key contact for our customers including grocery retailers, distributors, co-pack & food service accounts. The company is in a new season of building & scaling the business, and this role will require the ability to grow at a rapid rate. Additionally, this position will help manage customer orders, assisting with proposals for prospective accounts, maintain and update contract pricing and sales documents, generate weekly and monthly reports, and participate in the implementation of new accounts, projects, and tradeshows as needed. As Sales Operations Coordinator, you will have an in-depth knowledge of our company products to assist the Sales Leadership Team in growing sales, assist in product selection, secure special pricing, ensure order fulfillment accuracy, help build strong relationships with all customer accounts, and assist with key partnerships including the Culinary Institute of America. Essential Duties and Responsibilities: Develop and maintain customer relationships, with an emphasis on supporting key retail partner, H-E-B, on private label, and branded business needs. Manage incoming customer POs via EDI, email and/or phone (confirming receipt, validating quantities & accurate pricing). Coordinate with Operations, Accounting, and Warehouse team, customers, and brokers on revising PO's and communicating delays or short s h ip s , including managing PO maintenance forms & other required documentation. Setup pro m otions with HE B (and other accounts as needed) on branded items and monitor warehouse movement reports on a weekly Assist with weekly internal sales reporting by customer & product type. Coordinate with Chief Customer Officer on communication with broker s regarding new item launches, sell sheet updates, orde r timing and shifts, promotions, deductions, account se tu p and any vendor setup req u ire d t o maintain customer Develop and become knowledgeable of company processes and products. Receive, investigate, and respond to all customer inquiries regarding products, orders, and complaints. Develop and update monthly management syndicated performance reports utilizing customer POS systems and IRI data through SPINS. Create new item UPC's and update sell shee t s , price lists, images, spec documents for the product portfolio, and communicate this type of info to all customers, brokers, and sales reps. Create Retailer folders with all relevant customer info (contact info, items carried, retail pricing, photos of items on shelf, payment terms, supplier agreement, and broker information, if applicable, etc.) and ensure they are up to date on the company shared drive. Communicate and provide Accounting with documents for new customer setups and changes for existing customers in ERP system. Manage and coordinate food tradeshows and/or attend trade shows as delegated by salesmanag e me n t . Manage all incoming sample requests with Warehouse team and ensure Sales team is provided tracking info with each request. Coordinate and maintain master promotional planner for production planning and communicate to Operations team. Develop and maintain relationships with operations and accounting teams. Required Kno w ledge, Skill s & Abilities: Syndicated data and understanding of customer specific systems (IRI, A C Nielsen, SPINS) required Strongtechnical,analy t ical and sys t ems skill s are requ i red (ability to analyze data from numerous sources, draw conclusions, and make recommendations). Prior experience working in ERP systems (Sage preferred). Prior experience working in EDI. Priorexp e rience working with tight deadlines a nd demon str ated responsibility for accurac y a n d timeliness for wor k Must b e able to convey information t o all level s o f the organ i zation i n a clear ,focused,and concise Detailed oriented, organized, and strong analytical thinker. Highly motivated, reliable, and resourceful professional with practical sales experience. Ability to learn quickly, work independently, multi-task and prioritize under pressure. Education and Experience: Minimum 3 years' experience in CPG environment.
