Position Summary

The Operations Coordinator role in the Rental Systems and Technology department at MassHousing is a high visibility, high impact role with broad scope across the multi-family business line. Assignments will involve Business Development, Underwriting, Management, Housing Stability, and Legal needs. A high capacity for attaining new business knowledge and understanding complex business problems is critical to success in this role. The role requires direct interaction with senior and executive level staff and may frequently be required to handle sensitive information confidentially including budget, expense, and staffing information. The role has other administrative responsibilities including planning and scheduling meetings on behalf of the multi-family leadership team. The role will also prepare and distribute special executive staff and board reports and presentations. Project management assistance is also key to the role. The role will assist in the organization and execution of many high-profile projects and will be called upon to help teams meet and exceed their goals and objectives on time. The role will also assist with the creation and maintenance of project backlogs and collaborate with managers and department staff to set priorities across the multi-family business line.

This position is an excellent platform for a highly organized and creative individual to develop and refine their business acumen while building a strong professional network with leaders in the affordable housing multi-family lending business and contributing to the social impact of that work. The best candidate, in addition to being qualified, is ambitious, articulate, charismatic, creative, and most of all curious about the operations of MassHousing’s multi-family business. A proven ability at problem-solving and critical thought is essential.

Specific Duties and Responsibilities

  • Perform other related duties as assigned
  • Event and meeting planning, scheduling, and attendance management
  • Project management assistance including task creation, assignment, follow-up on expected deliverables, and monitoring of deadlines
  • Executive meeting scheduling, travel arrangements, expense reports, and other administrative support
  • Hosting large remote meetings via Zoom, Teams, etc.
  • Handling sensitive and confidential staffing information
  • Preparing agendas, circulating meeting materials, and coordinating necessary follow-ups
  • Creating and coordinating high impact reports and PowerPoint presentations
  • Learn the business of affordable housing multi-family lending to enhance contribution to assignments

Knowledge, Skills and Abilities Required

  • Ability to create high-quality reports and presentations using Microsoft Office tools
  • Facility with technology and collaborating in a remote environment
  • Intermediate Microsoft excel skills including pivot tables and some complex formulas
  • Critical thinking and problem solving
  • Excellent interpersonal skills and outgoing personality
  • Excellent written and verbal communication

Minimum Education and Training

  • Familiarity with affordable housing, mortgage lending, and/or real estate a plus
  • Bachelor's degree in business or other field combined with relevant work experience in a business setting
  • At least 3 years of relevant experience in executive administration and/or project support

Salary Range: $59,336 - $74,170
