Job Description
The City of Farmers Branch Manske Library in Farmers Branch, Texas has an opportunity for an Operations Coordinator. This position is responsible for managerial support to all locations within a specified library system. The primary purpose is to provide excellent customer service and maximize the efficiency of library workflow. You will also be involved with enriching the community by providing access to and assistance in acquiring the information needed for self-directed personal growth, satisfying leisure experiences, and cultural understanding.


Essential Duties and Responsibilities:


An individual must be able to perform each essential duty and responsibility satisfactorily.


  • Oversee monthly report statistics
  • Maintain Library statistics for the system
  • Prepare Library Board correspondence and reports such as monthly library statistics, monthly database statistics, and yearly state library report
  • Perform regular maintenance checks and submit facility and IT tickets
  • Act as project coordinator for special events
  • Liaise with internal staff at all levels
  • Accounting – Maintain Library account receivables and expenses; this includes payment of invoices, credit card coding, check requests, review expense reports, providing supporting receipts, updating, and managing multiple budgets.
  • Coordinate facility use and room rentals
  • Facilitate new hire and termination process with HR
  • Serve as Library liaison for library board meetings
  • Know, understand, and administer the American Library Association’s Library Bill of Rights, Freedom to Read Statement, and Freedom to View Statement, recognizing that freedom of access is a fundamental tenet of a public library. In addition to these freedoms, support client discretion of material available at your local libraries.
  • Assist and provide administrate services such as attending committee meetings, coordinating the preparation of manuals, and coordinating other training and meetings
  • Order of business cards and name badges
  • Assist Supervisor with additional tasks as needed
  • Collect and organize data for various grants and projects as required
  • Order Library supplies as needed
  • Maintain Library records and files
  • Follow all legal and policy requirements related to patron privacy and custodianship of patron records.


Requirements


An individual should possess the knowledge, skills and abilities listed and meet the amount of education, training and/or work experience required.


  • Detail-oriented, have excellent communication skills, and able to multitask
  • Proficient in Microsoft Office (Including Excel, Word, PowerPoint, and Outlook)
  • Be organized, possess strong writing skills, ability to multitask
  • Ability to work well independently or as a team
  • Bachelor’s degree required. MLS preferred.
  • Previous administrative duties required, a minimum of 2 years experience as an Administrator or office-related experience


Physical Requirements:


  • Occasionally lift, push/pull, hold/carry items weighing up to twenty-five (25) pounds such as files, books, and other materials.
  • Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork
