Our company is looking for an experienced office assistant to be responsible for handling general office tasks in our office. Experience working with nursing care agencies is a priority. Proper communication with referrals, intake of patients, and management of files and staff is a plus. You will be managing incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office duties and errands.


Office Assistant Job Duties


  • Prepare and submit weekly payroll for processing.
  • Photocopy and collate documents for distribution, mailing and filing.
  • Adapt to the daily or seasonal needs of an office.
  • Updating paperwork, maintaining documents, and word processing.
  • Process incoming and outgoing mail, manually or electronically.
  • Assist in preparing meeting agendas, attending meetings, and recording minutes.
  • Assist in payroll preparation by calculating time sheets and related duties.
  • Maintain inventory of office supplies, order supplies as required and arrange for servicing of office equipment.
  • May sort, process and verify receipts, expenditures, forms, and other documents.
  • Demonstrate ability to maintain composure and work efficiently in a demanding environment while following HIPAA guidelines.
  • May organize the flow of work for other office support workers.
  • Performing general office duties and errands.
  • Send and receive messages and documents using fax machine or electronic mail.
  • May keep up with incoming and outgoing referrals.
  • Help organize and maintain office-shared areas.
  • May help in the recruitment of staff.
  • Managing incoming calls and other communications, in person or electronic inquiries or forwarding to the appropriate person.


Office Assistant Requirements


  • Ability to work well under limited supervision.
  • Experience as an office assistant or in a related field.
  • Warm personality with effective communication skills with staff and customers
  • High school diploma or associate degree
  • Excellent communication skills.
  • Ability to write clearly and help with word processing when necessary.
  • Have a valid driver's license.
  • Ability to multi-task and maintain composure under pressure.
