Job Summary
The Office Assistant for the Dental Hygiene clinic is responsible for the operations of office related functions of the dental hygiene clinic, including patient scheduling, fee collection, management of the dental system software, managing patient communications, ordering office supplies, and sending radiographic images electronically. Assists Department Chair with Advisory Board meetings, on-boarding incoming students, dentist scheduling, monitoring Patient Satisfaction Surveys, and Chart Auditing. Maintains instructor and dentist CEU / CPR /TB documentation. Assists Clinical Coordinator with clinic lab duties. Supports faculty with classroom instruction needs. Assists Dental Hygiene students with patient scheduling and other functions of the dental record. Helps to maintain the safety of students, patients, and staff by handling conflict as it arises.

Required Qualification
  • Excellent oral and written communication skills, and the ability to manage confidential information and difficult patients.
  • A high school diploma or equivalent.
  • High level of computer skill, word processing, spreadsheets, e-mail, video conferencing (Zoom, Microsoft Teams), scheduling software.
  • Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.
  • Office administration experience.

Summary Of Essential Functions
Department Operations and Procedures 70%
  • Serve as principal user of the dental system software, ensuring that upgrades are installed and training is provided as needed.
  • Enter data from chart audits and provide report during team meetings
  • Maintain patient records and coordinate transfer of radiographic images to the patient’s dentist. Maintain office equipment.
  • Communicate by phone, e-mail, or in person to the cashier’s office, deposit of clinic fees, ordering office supplies, requisition orders, copy machine repairs.
  • Enter data from patient satisfaction survey and provide patient outcomes assessment data for department chair.
  • Schedule and confirm patients for the dental hygiene clinic.
  • Assist in marketing dental hygiene clinic: maintain inventory of literature and program pamphlets, disseminate employer contact information to current and past students.
  • Compile, analyze and prepare special reports and materials as required.
  • Communicate with other academic departments and divisions as needed.
  • Maintain the required files, records, and databases of the office Serve on Advisory Board, Screening Committee, and attend Team meetings. Collaborate with Department Chair, full-time faculty, and Clinic Coordinator on policy and procedures related to the operations of the clinic. Assist Clinical Coordinator with Lab related functions (laundry, restocking), as needed.
  • Collect patient treatment fees, whitening, and electric toothbrush sales.
  • Inventory office supplies and coordinate with division administrative secretary to order supplies.
Student and Customer Service 20%
  • Assist students with computer program for patient scheduling and chart entries
  • Coordinate and disseminate program information requests from prospective students and potential employer contact information for current and past students.
  • Make outbound phone calls for cancellations and appointment confirmations. Assist Clinical Coordinator with laundry, management of expiration dates and restocking dental supplies in the clinic. Handle patient complaints. Collaborate with Campus Safety, as needed.
  • Answer phone calls from potential patients.
  • Assist in student quality assurance program and monitor patient satisfaction surveys.
Strategic Planning and Leadership 5%
  • Coordinate and attend all advisory board meetings with community partners, attend clinical instructor/staff team meetings.
  • Serve on Dental Hygiene Advisory Board and Screening Committee.
Other 5%
  • Perform other related duties as assigned.
