Job Description
As an office assistant, you will be responsible for providing administrative support to ensure efficient operation of the office. Your main duties will include organizing and coordinating office operations and procedures, managing correspondence, and performing clerical duties, such as answering phone calls, responding to emails, and preparing documents. You will also be responsible for maintaining office supplies and equipment and assisting with other tasks as needed.
To be successful in this role, you should have excellent organizational skills, attention to detail, and the ability to prioritize and multitask. You should also have strong communication skills and be able to work effectively as part of a team. A high school diploma or equivalent is required, and previous experience in an office setting is preferred.
Tasks
Responsibilities:
  • Plan meetings and take detailed minutes
  • Update and maintain office policies and procedures
  • Book travel arrangements
  • Maintain contact lists
  • Organize and schedule appointments
  • Provide general support to visitors
  • Submit and reconcile expense reports
  • Develop and maintain a filing system
  • Order office supplies and research new deals and suppliers
  • Assist in the preparation of regularly scheduled reports
Requirements
Qualifications:
  • Attention to detail and problem-solving skills
  • Strong organizational and multitasking skills
  • Excellent communication skills, both written and verbal
  • Ability to maintain confidentiality
  • Ability to work independently and as part of a team
  • Previous experience in an office setting preferred
  • Proficient in Microsoft Office Suite
