We are recruiting for an Office Administrative Assistant for one of our best Oil and Gas clients in Dallas. This position will support the COO, CAO along with office administration duties. Great opportunity to join a growing, dynamic culture with great work / life balance and room for growth!

- Location - Preston Center area (NW Hwy and Tollway)
- Oil and Gas experience nice, but not a must
- BACHELORS DEGREE IS A MUST
- In office but remote one day / week after 6 months
- Salary - $65,000 - $75,000 + 15% bonus

Job Summary
The Office Administrative Assistant role provides high-level administrative support to company executives and partners by handling information requests and performing clerical functions such as answering phones, preparing correspondence, receiving visitors, arranging conference calls, reviewing and making supply requests, scheduling meetings and travel for executives. Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required for this role.
Essential Functions
- Procurement, stocking, organization of all supplies, food, and beverages
- Assist in day-to-day office needs including accepting and routing calls, greeting visitors, receiving packages, and the general upkeep/cleaning of office area
- Plan/Prepare/Host meetings (logistics, documents, hosting, catering, presentations, minute taking)
- Manage Conference room schedules, cleanliness of rooms and coordinate any meals necessary for large partner meetings, etc
- Manage COO time allocations, expense reports, credit card reconciliations, invoices, and statements
- Other duties and special projects as assigned
- Full travel itinerary coordination for domestic and international travel
- Answering company phones and provide messaging and forwarding support
- Manage office ingoing and outgoing mail including post office trips for certified mail and fedex accounts
- Scheduling business and personal travel for COO
- Liaise with office vendors, maintenance, external vendors and run errands as needed for events and any supplies necessary
- Company event and corporate gifting coordination
- Prepare reports, memos, letters, and other correspondence
- File and retrieve corporate documents, records, and reports

- Experience including scheduling and travel coordination preferred
