Job Summary
The Meeting and Events Specialist will be efficient, professional and always deliver white glove service to guests. Service delivery may include but not limited to warmly greeting all arriving guests, providing a fond farewell, professionally and accurately executing event requests, providing local information or directions, maintains proficiency in the reservation tool and processes reservations, is knowledgeable of all VIPS's, catering offerings and events of the day.
Key Responsibilities:
Assist with Meet and Greet service for high profile guests and clients when needed.
Overlook conference reservations, cancellations, and holding requests through the EMS Scheduling Software.
Assist with Reserve Space for clients as needed.
Weekly and daily Outlook communication with Meeting Coordinators to confirm all attendee counts and requests are satisfactory and to clients.
Manage event details and bookings within EMS and prepare weekly reports from EMS for various support services groups.

Daily walk through prior, to scheduled conference meetings, to confirm Audio/Visual equipment, catering, and room setup is successfully attained.
Act as day of point of contact for Meeting Coordinators for day of event assistance
Sustaining prominent professionalism to change, resolve, or improve day of reservation requests by the client.
Responsible to print all event floorplans and BEO’s for day of and following day’s events.
Serve as liaison with Audio Visual, catering, floor services, reception teams and any outside vendors on event-related matters.
Be able to communicate event details through appropriate business lines.
Provide outstanding client service and can build relationships with internal and external clients and vendors.
Assist in shipping and receiving duties as necessary.
Ability to participate in event walkthroughs if needed by Meeting Coordinators
Be knowledgeable of conference center event spaces and event procedures.
Keep and maintain records of event details within Rapport files and EMS.
Update SOPs and other Conference Center documents when required.
Other duties as assigned.
KEY COMPETENCIES:
A genuine sense of hospitality, with a commitment to delivering the Rapport business standards.
The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment.
Excellent listening and oral communication skills.
Basic computer skills and knowledge of office technology / equipment.
Punctual, dependable, and dedicated to achieving operational excellence, down to the smallest of details.
Discreet, ethical, and committed to maintaining a high degree of confidentiality.
A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.
Two to three years’ experience in meeting and events planning in a corporate environment.
This is a PM shift, will be required to work evenings.
