Our client, a medical device, diagnostics, and biologics advisory firm and clinical research organization, is seeking a dynamic and creative Conference Event Coordinator/Manager to join their team.
This position will be responsible for leading and supporting the coordination of company-sponsored events at conferences, partnering with industry conference leadership to create opportunity and manage events. The ideal candidate will have experience coordinating large conferences in some capacity, possess a high level of creativity, attention to detail and project management skills, and be hardworking, efficient, accountable, and excited to serve in a highly visible position as part of a growing organization that often requires staff to wear multiple hats.
You Will:
This position will be responsible for leading and supporting the coordination of company-sponsored events at conferences, partnering with industry conference leadership to create opportunity and manage events. The ideal candidate will have experience coordinating large conferences in some capacity, possess a high level of creativity, attention to detail and project management skills, and be hardworking, efficient, accountable, and excited to serve in a highly visible position as part of a growing organization that often requires staff to wear multiple hats.
You Will:
- Create reliable financial reports and collect and/or remit payments on time
- Collaborate with Marketing, BD, and other internal departments to ensure a successful event
- Plan event details and logistics aspects - these responsibilities include but are not limited to hotel and vendor relations, BEO assistance, signage, shipping, materials and supplies management, etc.
- Remain within the budget and find innovative ways to improve conference and event expenses
- Compose and distribute routing correspondence, reports, or contracts
- Participate in strategic meetings and conduct strategic research related to opportunities for partnership with industry conferences
- Other conference related duties as required
- Ensure all work products comply fully with standards, policies, and mission of company
- Travel and attend event(s) as needed and coordinate on the ground logistics and setup/breakdown for related events
- Ensure documents are completed accurately and maintain sales records, receipts, etc.
- Establish and maintain relationships with conference leaders, vendors, and venues
- MedTech experience is a plus
- The ability to be flexible and highly motivated
- Ability to work in a team environment
- Excellent relationship management as well as oral and written communication skills
- Creative and effective problem-solving skills
- Highly organized and detail oriented
- Proficiency in Microsoft Office applications
- Bachelor’s degree is required
- 4+ years of event planning/coordination, conference logistics, or related experience
- Prior meeting planning experience preferred
- The ability to work under pressure, meet deadlines, and manage multiple priorities simultaneously
- Onsite/offsite: Hybrid - 3 days per week onsite preferred (NYC)
- Projected Start Date: ASAP
- Duration: Temp to Perm
- Hours/Week: 40 hours per week
