What You’ll Do


The Meeting & Events Planner functions as the primary client liaison and lead for assigned groups and events is to negotiate critical program components based on knowledge of client requirements from initial meeting and events sourcing request, through final bill reconciliation of the event. The Planner proactively and strategically negotiates prices and contracts for maximum cost savings, and creates preliminary budgets as needed. Effectively leads revolving timelines based on open projects, and client timelines. Must be a good communicator, with a strong eye for business, able to provide guidance on destinations and sourcing standard operating processes to executive assistants, but also comfortable communicating with C Suite level colleagues. Ability to follows standard operating procedures and compliance policies for all sourcing activities.


  • Travel as directed by Manager (limited)
  • Create RFP in web application (Cvent). Research and select appropriate hotels/venues for RFP distribution.
  • Partner with internal meeting planners
  • Typical hours 9am – 6:00pm local time, but must be flexible with time to get work completed
  • Prepare client response comparison grid
  • Consult with client on hotel decision process
  • Monthly reporting including but not limited to outstanding commissions, savings, etc. and quality control to maintain accuracy of data reports
  • Track project budgets, on an ongoing basis and report cost savings
  • Close RFP within audit requirements
  • Actively participate in team conference calls
  • Work with hotels/venues to clarify responses
  • Consult directly with client (external and internal) on meeting RFP requirements
  • Negotiate final deal and contract with hotel
  • Tracking and handling of acquiring commission payment and requests from hotel partners for all commissionable groups programs
  • Actively expand knowledge of venues in support of program
  • Track process data points in web application
  • Monthly billing to include full reconciliation of meeting cards and projects
  • Organization and record keeping of physical and electronic group program files
  • Actively participate in hotel presentations


What We’re Looking For


  • Strong knowledge of hotel chains, brands and operating structure
  • Minimum 5 years in Meetings Industry/International experience
  • Proficient in Word, Excel, Outlook Mail and Cvent
  • Experienced in creating registration sites in Cvent
  • Procurement driven skills
  • Skilled at managing multiple projects/tasks working with multiple clients
  • Strong European/international destination knowledge
  • Ability to report to remote Manager
  • Customer service focused, positive attitude
  • Located in the NYC Metro Area - and ability to go into onsite office as needed for meetings.
  • Skilled in hotel contract terms
  • Comfortable in verbal negotiations
  • Proven negotiation skills
  • Strong written and verbal communications
  • Prior experience with European and international sourcing

United States - New York - Virtual Location


The US national annual base salary range for this position is from $46,000 to $93,000. The national range provided includes the base salary that GBT expects to pay for the role. Actual base salary will be based on factors including the scope and complexity of the role and the successful candidate’s relevant experience, skills, knowledge, and work location.
