Leave Administrator

100% Remote

12 + Month Contract

:

As part of the Benefits team, this position is responsible for coordinating & ensuring the execution of the full leave of absence cycle within the guidelines of the federal and state laws, and company policies. Provide

outstanding customer service for employees, managers, and people partners during the leave of absence and accommodation process to ensure a positive and informed experience.This role will also support the benefits department employees in the successful execution & completion of daily, weekly, & monthly tasks to deliver a best-in-class administration & employee experience.


Duties:

  1. Reviews the Carrier system to determine status of leave and/or accommodation claims.
  2. Works with the Leave Administrator on all matters relating toleave of absence, including but not limited to general inquiries and escalations and resolves within 2 business days
  3. Responsible for completing all state forms and returning to the appropriate provider/vendor within 2 business days
  4. Administers the dedicated leave email inbox and respond to all messages within one business day
  5. Works internally with Managers,Business Partners, and Leaders for all issues related to an employee's leave and responds to all messages within one business day
  6. Receives incoming/makes outgoing calls to employees, managers, people partners, vendors, physicians, etc. as needed to assist in leave for employees. Returns all calls within one business day. Reasons for calls will vary, but are not limited to the following:
  7. Verification of Initial intake leave information.
  8. Follow up on leave certification paperwork with employee
  9. STD/LTD inquires
  10. FMLA status updates (approved, denied, length of approval, etc.)
  11. Leaves include, but are not limited to FMLA, Military, Baby Bonding
  12. Responsible for educating employees, managers, and others on the leave of absence process, including state leaves, as applicable
  13. Coordinates with appropriate department for leaves related to Worker Comp or COVID
  14. Responsible for reviewing leave notifications received from the Leave Administrator for accuracy, updating the leave dates in the HRIS system, and providing notification to the employee and respective manager on daily basis
  15. Accurately and timely enters and/or updates leave status in the HRIS system
  16. Using calendar or tracker to track leaves and notifies People &/or Managers of leave status at certain intervals
  17. At 6 month mark of leave, responsible for reviewing and starting the process of moving employees to Cobra if applicable
  18. Using HRIS system, checks for any voluntary benefits employees has elected that may apply to the leave and send out necessary forms as needed
  19. Return to work requirements
  20. Returns employees to work in the HRIS system as needed & confirm employee is cleared to return prior to updating when applicable
  21. Notifies Leave Administrator of RTW to close out leave claim when applicable.
  22. If moved to Cobra due to length of leave, reinstate benefits within HRIS at the company's direction, ensure benefits are reinstated & communicate with employee
  23. Electronically file all items (emails/letters) related to leave into the appropriate drive within 2 business days
  24. Documents current processes and provides input and participates on future process improvement initiatives as directed
  25. Other duties as assigned

Requirements:

  • Experience in HR Shared Services &/or outsourced environment
  • Hands on experience in large (10,000+ employees) high growth, employee focused and fast paced technology environments
  • Strong proven project management skills
  • Commitment to driving results, including taking ownership for administration and improvement of benefits processes and programs
  • Consultative approach and ability to collaborate, research and present recommendations to leaders
  • Analytical thinking & problem solving skills. Proven analytical skills required (vlookup, pivot tables, large data audit compares)
  • Excellent written and verbal skills.
  • Proficiency with Google Suite (Doc, Sheets, Slides); 1+ year experience with Google Sheets required
  • Exceptional attention to detail & organizational skills
  • 2-5 years experience administering federal and state leaves of absence; working knowledge of best practices for leaves of absence; knowledge of FMLA and state and local leave regulations and protections, and other applicable laws
  • Proven customer service orientation and the ability to interface with & resolve issues for all levels of employees and organization
  • Experience with HRIS systems, benefits administration systems and payroll systems. 1+ years experience working with Workday Benefits required
