    About the position

    Administer benefits programs for city employees, working with vendors and payroll to ensure accurate enrollment and deductions. Provide professional and confidential administrative assistance and support in all areas of HR. Provide quality service delivery to the public and other departments as needed. Responsible for division recordkeeping.
    This position is eligible for hybrid work.
    Tentative interview schedule
    First round - June 29 and/or June 30
    Second round - July 6 and/or July 7

    Duties and Responsibilities

    1. Administer benefit and retirement programs.

    • Enroll new hires in appropriate benefit plans and work with payroll to ensure deductions and contributions are accurate.
    • Work with vendors to ensure accurate enrollment, reconcile monthly vendor bills, and follow up on any discrepancies.
    • Communicate with new and current employees, as well as retirees and disabilitants, to answer questions regarding benefits enrollment, medical providers, payroll deductions and general information.
    • Conduct new employee orientation sessions and make other benefits-related presentations as needed or assigned.
    • Oversee annual open enrollment process including paperwork preparation, meeting with employees and follow up.

    2. Provide general administrative and support duties for HR including data entry, filing, meeting setup, report creation and drafting correspondence.
    • Maintain current and archived HR records, forms and files, both electronic and hard copy and respond to data requests.
    • Organize and register for subscriptions and memberships, make travel arrangements, manage calendars, assist with meeting preparations and setups and provide logistical support for events.
    • Provide walk-in, emails and telephone customer service to the public and other departments, serve as front line customer support for division.
    • Submit bills for payment, code invoices and handle other administrative tasks as needed for the division.

    3. Other duties
    • Serve as division representative on committees or other groups as needed.
    • Perform other duties as assigned.
    • Administer the employee recognition program, work with supervisors to recognize staff who achieve a milestone anniversary and oversee the annual recognition event.
    • Back up to payroll and others in the HR division as assigned.

    Minimum Qualifications

    • Ability to work independently, maintain confidentiality, and prioritize work efficiently.
    • Excellent computer proficiency, including spreadsheet and word processing applications.
    • Ability to multitask, work in a fast paced environment and work effectively under pressure to meet deadlines.
    • High school diploma or equivalent.
    • 2 years administrative office experience, including providing customer service.

    Desired Qualifications

    • Demonstrated cultural competency and comfort with supporting the city’s strategic objectives for racial equity.
    • Experience with human resources information systems, benefits, payroll, and/or Sharepoint.
