Job Description

The Wistar Institute has an opening for a Human Resources (HR) Associate. The Human Resources Associate will work with the HR team to support the recruitment function of technical, administrative, and service personnel as well as support the benefits function. The HR Associate will also partner with the HR team on department initiatives. This is an excellent opportunity that can offer growth potential for an individual who is interested in learning the field of Human Resources.
Duties and responsibilities:
Recruitment and Selection
  • Along with HR Generalist, attend off-site recruiting events including job fairs.
  • Maintains knowledge of trends, best practices, and new technologies in human resources, and talent management.
  • Works with HR Generalist to conduct aspects of recruitment process including screening and evaluating resumes and applications, interviewing candidates and conducting reference checks.
  • May assist HR Generalist with collecting and analyzing compensation data.
  • Supports HR functions as liaison to the Education and Training department.
  • In partnership with HR Generalist, facilitates onboarding/new hire orientation activities (i.e. initiates background screenings, updates new hire paperwork, conducts new hire orientation sessions, etc.).
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Partners with HR Generalist to support recruiting function. Including: monitoring online job requisitions and posting open positions to Wistar’s careers page and external sites.
Benefits
  • Create and maintain up-to-date email and mailing address reports for benefit eligible employees.
  • Assist with benefit mailings for active and terminated participants Assist with benefit audits and updates including but not limited to Employee Properties (EP) in Dayforce for pension and benefit fields, and employee benefit files.
  • Coordinate with Benefits Administrator to support HRIS (Dayforce) reporting (i.e. reconciliations, discrimination testing data, carrier feeds).
  • Assist with annual Benefits Open Enrollment.
  • Coordinate the Return to Sender (RTS) process; update Dayforce with mailing addresses and manage address searches within department guidelines.
  • Responsible for monitoring employee self-service Dayforce address changes, confirming verification documents, approving changes within department guidelines, data entry and updating carrier portals.
  • Assist Benefits Administrator with ad-hoc reporting and/or projects.
General Administrative Functions
  • Onboarding and offboarding of temporary and unpaid employees.
  • Assists with annual performance review process.
  • Participate in departmental projects and programs.
  • Complete employment verifications.
  • Develop an electronic HR newsletter to convey important HR information to employees.
  • Maintain department filing system (i.e. create labels for new HR and benefit folders, filing documents and pulling folders of terminated employees, manage off-site storage per Institute record retention policies).
  • Key data entry in Dayforce HRIS system.
Education/Experience: Bachelor’s degree or equivalent in Human Resources, Industrial Psychology, or related field is required. A minimum of 1-2 years of experience in related HR areas such as recruitment, selection, training, employee benefits, compensation and/or equal opportunity compliance is preferred.
Specific Knowledge, Skills, or other Qualifications: Excellent interpersonal and technical support skills; excellent organizational skills and attention to detail; strong analytical and problem-solving skills. Ability to manage priorities, work in a team environment, and effectively communicate deliverables. Familiarity with local, state, and federal laws involving employment, HR, and HR policies.; ability to maintain professionalism and keep information confidential. Ability to handle multiple tasks in a fast-paced environment required.
Proficient with Microsoft Office Suite or related software required. Proficient with or the ability to quickly learn the organization’s HRIS (Dayforce), payroll, and similar employee management software highly technical understanding of at least one commercial HRIS product.
