Job Description

Spectrum Catering & Concessions, LLC, is searching for a high energy, positive, friendly & customer-service orientated individual to backfill the current People Department Admin Assistant while on maternity leave. The candidate must be able to start by the end of April to train with the current People Department Admin Assistant for 3-4 weeks to help ensure excellent hand-off and immediate success of the candidate, and must commit to working with us through mid-to-late August. Depending on the successfulness of the candidate and/or the decision of the current admin to return to work, there may be an opportunity for the position to be extended into a regular, full-time position, but is not guaranteed at this time.


QUALIFICATIONS:

  • Must have 1-2 years minimum of significant onboarding experience
  • Basic proficiency and experience using MS Excel
  • Must have excellent organizational skills, attention to detail, and follow-through to succeed in this role
  • Bi-lingual in Spanish is a plus, but not required
  • Experience using payroll systems preferred (HRP a plus)
  • Excellent written & oral communication skills
  • Prior work as an HR Admin preferred


RESPONSIBILITIES:

  • Support the People Director as needed
  • Keeping track of those who haven't completed onboarding by the time payroll is processed to ensure they are brought on and paid out as soon as possible
  • Emailing, texting and calling candidates to facilitate the completion of the onboarding process
  • Assist in responding to verifications of employment and unemployment claims
  • Helping to check payroll entries for accurateness
  • Answering phone calls for the People Department, assisting where able, or routing calls to the correct team member
  • Managing the People Department email inbox and routing emails to the correct team member
  • Managing the onboarding of staff for music festivals, golf tournaments and music venues. Music festival onboarding could include significant onboarding needs of 100-200+ employees in a couple week period of time
  • Verify candidates' eligibility to work through e-Verify

OFFICE SETTING & ENVIRONMENT:

This position is required to be done in an office setting at Spectrum's HQ offices off I-45 & Robinson Road in the Conroe/Oak Ridge North area. This position is not eligible for remote work. The HQ office is home to approx. 25 individuals and provides support nation-wide to our ~3500 employees working at music venues and special events such as the PGA Tour, Cirque du Soleil, well-known Music Festivals, backstage catering to music groups & their road crews, our catering division & more across the United States. Your team consists of the People Director & a Payroll Specialist. The People Admin Assistant has his/her own office. Spectrum lives by the Golden Rule of "Do Unto Others as You Would Have Done Unto You". Associates are warm, friendly & an extension of family. HQ has a full kitchen available for associates to use as well as company-provided coffee-based beverages & teas. The candidate should expect to work an 8 hr day, not including lunch break time, with core hours of approximately 8 AM - 5 PM.
