Job Description
ETC, an international leader in events lighting technology, is seeking a Human Resources/Administrative Assistant to join our team! ETC is an employee centric company with a strong focus on providing exceptional customer service. Our ideal candidate will have a welcoming personality, good organization and communication skills, and be a helpful source of information for employees, customers, and guests.
This position will work onsite at our Austin facility, which offers a unique and casual work environment with an excellent benefit package. Many of our benefits beginning on day 1 of employment!
Human Resources Responsibilities
  • Assists with benefit questions, communicating benefit information to employees, helping with paperwork etc.
  • Assists with employee program administration, service awards etc.
  • Acts as a general resource for employee related questions
  • Ensures required HR and Safety documents are displayed appropriately
  • Organizes and performs pre-employment, post-accident & reasonable suspicion drug tests
  • Provides local Health and Safety support in conjunction with ETC Health & Safety team
  • Assists in recruitment & employee relations items as needed
  • Participates in new hire orientation including welcoming & training new hires
  • Supports & builds relationships with the Austin office team
Administrative Responsibilities
  • Coordinate employee events, lunches, cookouts, event ticket distribution etc.
  • Support customer service department with order processing and customer contact as needed
  • Liaise with office cleaning company & maintaining janitorial supplies
  • Completes special projects and assignments in a positive and timely manner
  • Provide local facilities administration as needed
  • Coordinating building maintenance contracts and repairs as needed
  • Maintain condition of reception, staff, kitchen, coffee maker and meeting rooms
  • Greet guests in a timely and professional manner & contact their host immediately
  • Coordinate recycling efforts including all waste streams – Regular, WEEE, Hazardous
  • Coordinate customer training, meetings, presentations, and events including travel, lodging, transportation, swag, meals & room preparation etc.
  • Performs other duties as assigned
  • Provide administrative support including sorting mail, data entry, maintaining office supplies, filing, handling deliveries, taking meeting minutes, preparing documentation & presentation materials etc.
Minimum Qualifications
  • HS diploma or equivalent (GED)
  • Familiarity with multi-line phone systems helpful
  • Ability to read and understand written and verbal instructions
  • HR or customer service experience beneficial
  • Strong organizational skills and attention to detail
  • Proven ability to deal with all levels of personnel and maintain strictest confidentiality
  • Ability to work independently
  • Strong communications and interpersonal skills
  • SAP experience beneficial
  • Solid computer skills (Excel, Word, Internet Explorer)
  • Ability to project a friendly and professional demeanor
  • Ability to work well under pressure
